Position: Front Desk Associate (Part-Time)

Overview

Front Desk Associate (Part-Time) at First Service Residential. The Front Desk Associate supports the operations of the association through customer support at the onsite facility, including front desk reception duties, community event support/management, and administrative functions.

Job Responsibilities
  • Coordinate and administer facility usage; assist in monitoring adherence to policies and guidelines.
  • Respond to homeowner inquiries.
  • Assist in the implementation of all Association and First Service Residential sponsored community events when requested.
  • Front desk operations, including telephone and clerical activities, interfacing with residents, and other duties as necessary.
  • Handle customer service calls and issue corresponding work orders, in accordance with established procedures.
  • Receive all material delivered to the onsite office, process it, and forward to the responsible parties.
  • Handle all aspects of resident registration and maintain appropriate computer and paper files.
  • Assist with preparing architectural plans for ARC review and with creation of follow up letters.
  • Create and send violation letters for parking and trash container violations.
  • Assist with quarterly newsletter creation.
  • Must be able to handle multiple tasks concurrently.
Skills & Qualifications
  • Must be knowledgeable and adept with Connect, Microsoft Outlook, Word and Excel.
  • Professional attire required.
  • Must have administrative background and be able to demonstrate organizational skills and the ability to prioritize.
  • Demonstrates effective oral and written communication skills.
  • Must be able to independently answer and place telephone calls.
  • Must be able to sit at a desk for long periods of time.
  • Excellent customer service skills; proactive in seeking additional work when assigned tasks are completed.
Hours

Monday–Thursday 10am–3pm and Fridays 8am–5pm

Education & Experience
  • Some college or technical education.
  • Previous customer service experience.
  • Proficient in English; bilingual Spanish helpful.
  • Excellent general math skills; strong reasoning ability and analytical skills.
Physical Requirements & Working Environment
  • Must be able to lift 25 lbs.
  • Finger dexterity for typing/using a keyboard.
  • Verbal ability to communicate with homeowners, co-workers and Board members.
  • Ability to write effective correspondence.
  • Must have use of a vehicle, possess a current driver’s license and state-mandated vehicle insurance with First Service Residential listed as certificate holder.
  • Must be able to hear to receive telephone calls and voicemails.
  • Must be able to sit for long periods and keyboard at a computer terminal.
  • Must be mobile to move around the office to manage copies, mail, faxes, and oversee facility usage.
  • Occasional overtime may be required; consistent, punctual, and regular attendance required.
