Executive Assistant to Principal and Vice Principal

Cardinal Gibbons High School, in Fort Lauderdale, Florida, is hiring for a full-time Executive Assistant to the Principal and Vice Principal
. This role is vital in ensuring the smooth and efficient operation of the school’s administrative offices. This position serves as the primary point of contact and support for the school’s leadership, managing complex schedules, coordinating communications, and handling sensitive information with discretion and professionalism. The Executive Assistant supports the daily functions of the school’s leadership team, enabling them to focus on strategic priorities and the overall success of the school community.

The candidate performs all duties in alignment with the mission, vision, and values of the Archdiocese of Miami.

Responsibilities include:
  • Manage and maintain the calendars of the Principal and Vice Principal, including scheduling meetings, appointments, and school-related events.
  • Serve as a liaison between school leadership and faculty, staff, parents, and external stakeholders, ensuring timely and professional communication.
  • Prepare, edit, and distribute correspondence, reports, agendas, and presentations as needed.
  • Coordinate logistics for meetings, events, and campus visits, including room setup, materials, and hospitality.
  • Maintain confidential records and files, handling sensitive information with discretion and integrity.
  • Support the implementation of school initiatives by tracking deadlines, organizing documentation, and assisting with project follow-up.
  • Help manage day-to-day administrative operations to ensure the school office runs efficiently and effectively.
  • Communicate effectively with the public, staff members, students, parents, administrators and other contact people using tact and good judgment.
  • Model and maintain high ethical Catholic standards.
  • Demonstrate initiative in the performance of assigned responsibilities.
  • Respond to inquiries and concerns, via phone and/or e-mail or mail, in a timely manner and document interaction.
  • Build and maintain good working relationships with other team members, exhibiting good interpersonal skills.
  • Demonstrate support for the school system and its goals and priorities.
  • Demonstrate initiative in identifying potential problems or opportunities for improvement.
  • Prepare all required reports and maintain all appropriate records.
  • Assist with school tasks as assigned with confidentiality and discretion, demonstrating excellent internal and external customer service.
  • Perform other tasks consistent with the goals and objectives of this position.
Qualifications:
  • High school diploma and 5 years’ clerical experience in a customer-service environment. Non-profit helpful.
  • Bachelor degree in with 1 year of school experience preferred.
  • Experience in a Roman Catholic environment is a plus.
  • Ability to maintain confidentiality concerning student files and sensitive information.
  • Excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
  • Good time management, including ability to manage several projects at the same time.
  • Must be able to multi-task and retain accuracy.
  • Type at least 60 wpm with 90% accuracy.
  • High level of proficiency in MS Outlook, Word, and Excel.
  • Strong, demonstrated, computer literacy, including ability to navigate online applications and search engines effectively.
  • Good spelling and grammar are required.
  • Good oral and written English-language communication skills, including clear speaking voice.
  • Proficiency in Spanish-language is a plus.
