Office Manager – The Players Alliance

Location:

Ft. Lee, NJ – 5 Days on Site in Office (Non-Virtual, Non-Hybrid, Non-Remote)

The Players Alliance is seeking a professional, reliable, mature, energetic, friendly, highly skilled Office Manager who will be based at our Fort Lee, NJ office. The Office Manager will ensure that the office environment is organized, functional, and welcoming, and will be highly self‑directed—capable of managing administrative tasks, vendor relationships, and office logistics independently.

Responsibilities Office Administration & Logistics
  • Provide friendly, professional, customer‑centric service to all guests.
  • Manage day‑to‑day office and site needs, ensuring smooth operations and preparedness across all program spaces.
  • Oversee office maintenance, supplies inventory, equipment upkeep, and order maintenance services.
  • Handle incoming/outgoing mail, packages, and deliveries.
  • Ensure office space is clean, tidy, and presentable; coordinate with cleaning services.
  • Serve as office phone operator—answer calls, route inquiries, monitor voicemails.
  • Report and coordinate facility repairs or safety issues with building management.
  • Maintain office and kitchen supplies inventory; instruct staff on equipment use.
  • Coordinate in‑office meetings, conference rooms, catering, and annual office events.
Administrative Support
  • Provide comprehensive support to the VP, Program Operations, including scheduling, calendar management, and travel logistics.
  • Prepare and edit communications, reports, and documents with high accuracy.
  • Serve as first point of contact for clients, visitors, contractors, and site representatives.
  • Assist with organizing meetings, events, and program‑related activities.
Team Support & Coordination
  • Assist with onboarding and offboarding administrative tasks for new and departing team members.
  • Coordinate corporate meetings, internal events, and luncheons.
Safety & Compliance
  • Maintain office security protocols and manage access.
  • Ensure basic workplace safety standards are met.
Systems & Process Improvement
  • Collaborate with leadership and staff to streamline administrative and operational processes.
  • Utilize Microsoft Office Suite, Microsoft 365, Teams, Zoom, and smart boards to support office efficiency.
  • Maintain strong written and verbal communication, organizational skills, and ability to manage multiple priorities.
  • Engage effectively with community stakeholders and partners.
Requirements
  • Associate’s or Bachelor’s Degree Preferred; proven experience in an Office Manager or similar role (7+ years).
  • Minimum 5 years database management experience and handling confidential information.
  • Experience in nonprofit, community‑based, or social services settings preferred.
  • Exceptional organizational & time‑management skills, independent prioritization.
  • Excellent verbal & written communication.
  • Proficiency in Google Suite and Microsoft Suite.
  • Experience working in a fast‑paced and fun environment.
  • Full compliance with organizational policies, safety standards, and operational protocols.
Qualifications
  • Associate’s or Bachelor’s degree in business administration, nonprofit management, or related field.
  • 5‑6 years experience in office administration or related environment.
  • Strong organizational skills, attention to detail, ability to manage multiple priorities.
  • Proficiency with Microsoft Office, Google Workspace, and office technology.
  • Familiarity with donor management or CRM software a plus.
  • Excellent interpersonal and communication skills.
  • Ability to work independently and collaboratively.
  • Commitment to the mission of The Players Alliance.
  • Experience working with the under‑served community a plus.
