Position Overview:

We are seeking a highly organized and experienced Administrative Assistant to provide proactive and essential support to our team at Fort Meade, MD. This is not just a typical administrative role; it's a chance to contribute directly to important national security initiatives. This role requires a deep understanding of administrative best practices, meticulous attention to detail, and a strong working knowledge of DoD, Navy, and NAVIDFOR policies.

You will be a key player in ensuring smooth and efficient operations within a mission-critical environment.

Key Responsibilities:
Making an Impact

  • Primary Point of Contact: Serve as the primary administrative point of contact, expertly managing personnel records, training materials, and official correspondence in strict compliance with DoD, Navy, and NAVIDFOR policies.
  • Systems Management: Oversee and maintain various administrative systems, including SharePoint, vendor purchase orders, and cost data. Proactively identify opportunities for process improvement.
  • Reporting and Documentation: Prepare accurate and timely reports, manage critical documents, and support civilian personnel labor and travel requirements (including processing travel arrangements and expense reports).
  • Meeting Support: Attend staff meetings, capture detailed and accurate meeting minutes, and ensure timely submission of required documentation.
  • Financial Support (Preferred): Assist with budget tracking, financial documentation, and expense reconciliation.

Required Qualifications:
What You Bring to the Table

  • Education: Associate’s Degree (AA) or equivalent experience.
  • Experience: Minimum of 10 years of progressively responsible administrative support experience. Experience with in a government or defense-related environment is highly desirable.
  • Technical

    Skills:

    Expert-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and demonstrated ability to quickly learn new software and systems.
  • Government Acumen: Strong familiarity with Government program report formats and regulatory compliance requirements.
  • Clearance: Active Secret Clearance (must be able to maintain clearance).
  • Organizational

    Skills:

    Exceptional organizational skills, time management, and the ability to prioritize tasks effectively in a fast-paced environment.
  • Communication

    Skills:

    Excellent written and verbal communication skills, with a professional and courteous demeanor.

Preferred Qualifications:
Stand Out From the Crowd

  • Experience in budgeting and financial documentation.
  • Prior administrative support experience specifically within DoD, Navy, or NAVIDFOR.
  • Experience supporting SES or Flag Officers.
