Ambassador Healthcare at College Park is seeking a highly organized and detail-oriented Medical Records Clerk to join our compassionate and resident-focused team. This vital role is responsible for managing, maintaining, and protecting resident medical records while ensuring full compliance with state and federal regulations. The ideal candidate will support both clinical and administrative operations with professionalism and accuracy.

Key Responsibilities
  • Maintain and organize open medical charts, ensuring timely completion and closure as needed.
  • Perform administrative tasks including answering phone inquiries, managing correspondence, and supporting healthcare staff.
  • Coordinate secure shredding of outdated records in accordance with state and federal guidelines.
  • Obtain all required departmental and physician signatures on discharge charts within 30 days of discharge.
  • Serve as liaison during state and consultant visits, demonstrating professionalism and teamwork.
  • Efficiently manage the medical records office—maintain supplies, keep the space organized, and ensure confidentiality.
  • Prepare for and assist with Medicare and OMIG audits, ensuring accuracy and compliance.
  • Process medical record requests for disability, no-fault, and other legal cases in compliance with applicable laws.
  • Type physicians’ orders and assist with transcription for discharge charts.
  • Follow proper credentialing protocols and ensure compliance when releasing medical records.
  • Assist with Activities Department tasks as needed.
Requirements
  • Knowledge of nursing home credentialing for providers and legal protocols for releasing medical records.
  • Minimum 1 year of experience in medical records management.
  • At least 1 year of experience in a Nursing Home or Long-Term Care setting.
  • Proficiency in medical terminology and medical recordkeeping systems.
  • Computer literacy, including Outlook, Excel, Microsoft Edge, and Point Click Care  (PCC).
  • Strong organizational skills with the ability to make independent decisions.
  • Commitment to accuracy, confidentiality, and regulatory compliance.
