Job Description

The Invoice Audit Coordinator - Cost & Rate plays a critical role in protecting company profitability and service reliability by ensuring the accurate recognition of revenue, proper application of carrier costs, and timely reconciliation of pricing discrepancies. This role is directly responsible for identifying, researching, and resolving audit issues that require manual revenue and cost adjustments, while ensuring carriers are paid accurately and on time.

Timely carrier payment is essential to maintaining strong relationships with capacity providers and reinforcing AES as a preferred partner to move freight. In parallel, this position ensures that all customer invoicing requirements are met so invoices can be released and collected without delay. Through detailed audit review, contract interpretation, and cross functional coordination, this role directly impacts cash flow, margin integrity, carrier retention, and customer satisfaction.

Responsibilities
  • Analyze freight invoice audits to identify discrepancies impacting carrier cost, customer revenue, or billing accuracy, and determine the underlying issue driving each audit exception.
  • Document audit findings thoroughly and maintain accurate, auditable records of research, resolutions, and financial adjustments.
  • Perform root-cause analysis to determine whether issues are systemic or preventable, providing feedback to drive process improvements.
  • Collaborate with carriers, pricing, carrier partnerships, and operations teams to explain audit findings, recommend corrective actions, and ensure timely reconciliation of discrepancies.
  • Actively follow up and hold internal teams and carriers accountable to resolve open audit issues affecting carrier payment or customer billing.
  • Research contracts, tariffs, amendments, and special rate agreements to accurately apply pricing between AES and carriers (cost) and AES and customers (revenue) when rates cannot be system-loaded in the TMS.
  • Interpret and validate complex rate structures to ensure correct rating and identify billing discrepancies requiring manual revenue or cost adjustments.
  • Complete and process revenue and cost adjustments to resolve customer disputes, overcharges, and audit findings both pre- and post-payment.
  • Ensure carriers are paid accurately and on time, resolving pricing errors or disputes that delay payment.
  • Ensure customer invoices are released timely and accurately, meeting all customer-specific invoicing requirements to enable Accounts Receivable to bill and collect.
  • Review and validate customer billing disputes that prevent payment, resolving issues through accurate financial corrections and documentation.
  • Review customer overcharge claims submitted after payment and process necessary revenue and cost corrections.
  • File carrier overcharge claims and manage outstanding refunds to recover costs resulting from pricing errors, customer disputes, or payment discrepancies.
  • Obtain, audit, and validate all required documentation needed by customers to approve and pay invoices.
  • Build strong working relationships with carriers and operations teams to promote collaboration, expedite issue resolution, and reduce recurring audit errors.
  • Adhere to internal controls, legal requirements, and industry standards related to billing, auditing, and financial adjustments.
  • Provide regular updates to management on audit trends, financial impact, open issues, and resolution status.
  • Other duties and projects, as assigned.
