Job DescriptionPOSITION TITLE: Office Administrative Assistant to Legal Counsel
FLSA: Non-Exempt
REPORTS TO: Legal Counsel
TERMS OF EMPLOYMENT: Days and benefits will be specified in the employee contract. Contract will be prorated based on the actual start date.

QUALIFICATIONS
- High school diploma or equivalent required
- Educational office training preferred
- Strong computer skills and proficiency in Microsoft Office (Word, Excel, and PowerPoint) and Google Suite (Docs, Sheets, Slides)
- Strong organizational and interpersonal skills
ESSENTIAL JOB FUNCTIONS
- Assist with the scheduling and management of legal counsel’s calendar - scheduling meetings, tracking essential tasks, and legal deadlines.
- Maintain prompt and regular attendance
- Maintain and update records, including invoices, receipts, and expense reports.
- Organize and file documents in a systematic and easily retrievable manner - streamline document management systems to ensure files, legal guidance documents, and research materials are systematically categorized and easily searchable.
- Verify data for accuracy and completeness, identifying discrepancies for correction.
- Assist with review and formatting of legal correspondence, contracts, notices, agendas, and briefs as directed by legal counsel
- Assist legal counsel in creating educational and training presentations
- Assist with Freedom of Information Act (FOIA) requests - log and track requests, calendar response deadlines and help gather records for counsel review
- Ability to assist legal counsel with legal research - searching and retrieving relevant statutes, case law, and regulations
- Open, sort, and distribute interoffice and regular mail.
- Input data for recordkeeping in multiple software systems.
- Respond to written and verbal inquiries from a variety of internal and external sources for the purpose of providing information and/or providing direction.
- Monitor copy and fax machines, and telephones, and place service calls as necessary.
- Ability to produce brochures, handbooks, notebooks, flyers, and meeting agendas.
- Type correspondence, reports, process evaluations, and do general filing and typing.
- Answer phones and make appropriate calls as directed, receive messages, and respond to any inquiries by staff, parents, or patrons of the district.
- Attend meetings/trainings as required by administration.
- Must have strong computer skills and proficiency in Microsoft Office (Word, Excel, and PowerPoint) and Google Suite (Docs, Sheets, Slides).
- May be required to work additional hours as directed.
- Maintain confidentiality.
- Present and communicate in a professional manner.
- Familiarity with, or commitment to learning district policies
- Ensure compliance with district policies and state regulations.
- Collaborate with other departmental staff to streamline processes and improve overall operations.
- Demonstrates the ability to maintain positive professional working relationships with others
- Maintains emotional control under stress
