Job SummaryThis position oversees the university’s bus drivers and fleet consisting of 3 shuttle buses, 3 coach buses and 4 passenger vehicles. The coordinator schedules and coordinates usage and maintenance activities of the fleet and ensures the transportation of students to designated areas on and off campus.
Essential Duties / Responsibilities- Provides outstanding customer service to departments via expert assistance and support for fleet service.
- Oversees the use of the University’s vehicles, equipment and improvement implementations.
- Ensures the campus acquires and maintains an inventory of vehicles available for employee and team travel and develops policies and procedures related to a vehicle motor pool in compliance with the DOAS.
- Serves as the University liaison with the State of Georgia (DOAS) Transportation unit to procure or surplus vehicles for the fleet and maintains knowledge of Board of Regents policies, federal, state and local laws and regulations related to risk management, safety and transportation.
- Performs ongoing analysis of operational decisions.
- Serves as primary database administrator for computerized maintenance management software and fuel access systems and supports departments as the subject matter expert for new vehicle purchases and removal of old vehicles through approved surplus methods.
- Facilitates the collision repair process by collecting police reports, initiating claims, creating work orders, coordinating repairs and returning completed vehicles to departments.
- Manages transportation shuttle and third‑party fleet management contracts and invoices, issues requisitions for service and performs service validation.
- Provides vehicle and golf‑cart training per DOAS and maintains a process to ensure vehicles are up to date on maintenance.
- Assists in the development of shuttle schedules, routes and transfer points via a third‑party app and for special events.
- Conforms to all state laws and regulations regarding DOT/FMSCA.
- Performs other duties as assigned for efficient operation of the transportation program.
- High School Diploma or GED; bachelor’s degree in business field.
- Three (3) years of experience in clerical, bookkeeping, or accounting; fleet/vehicle related experience preferred; or any equivalent combination of education, training, and experience related to the position.
- Two (2) years of driving experience.
- CDL License with P endorsement is a plus but not required.
- Attentive to detail with a strong customer orientation.
- Successfully complete an MVR and criminal background check.
