PURPOSEPerform a variety of clerical, administrative, payroll and accounting duties to relieve the administrator and other staff of administrative and clerical detail in support of assigned District accounts and functions. Process, record, evaluate and audit various transactions. Prepare and maintain a variety of manual and automated financial and statistical records and reports. Assist in the flow of communications, correspondence and information for the department.

School Year - Work Hours:
Monday - Friday : 8 hours daily determined by supervisor.
- Any combination equivalent to graduation from high school and four years of clerical or secretarial experience involving frequent public contact.
- Must have strong office, computer, public relations and oral and written communication skills.
- Must possess knowledge of the terminology, practices and procedures of assigned office.
- Must possess knowledge of the technical aspects, methods, processes, principles, practices, procedures and terminology used in assigned field.
- Perform a variety of responsible and confidential clerical and secretarial duties to relieve the administrator of a variety of administrative details; coordinate and assure proper and timely completion of office projects and activities.
- Prepare and maintain a variety of detailed and complex lists, records and reports related to IEPs, budgets, projects, programs, and services. Maintain filing systems; assure mandated reports are completed in accordance with established time lines and requirements.
- Process Individual Education Plans (IEPs) for the upcoming year and Extended School Year IEPs and Transportation applications for summer services; enter data to transition students to the next school to attend and/or graduate status; process Indiana Individual Educational Plan (IIEP) Transfer request from other Indiana school districts.
- Initiate, screen and receive telephone calls. Take, retrieve and relay messages as needed. Respond to requests, complaints and questions from officials, staff and the public. Refer difficult issues to the administrator; communicate administrator’s instructions to parents, staff, and others.
- Notify human resources and payroll personnel of changes in personnel status as needed; process ESY payroll in the summer; track funding source and employment staffing data of all employees tracked for IN-MAC; follow-up with staff regarding Random Moment Surveys.
- Process and coordinate transportation applications and updates for district special education students for student relocation within the District.
- Enroll, withdraw and/or graduate all non-public and preschool students in Power School; process Individual service Plans (ISPs) for non-public students.
- Update data, monitor, and schedule Manifestation Determination Hearings and collaborate with Family & Student Services and building staff.
- Monitor and submit information to various departments and/or schools regarding ILEARN, IREAD, ECA and Good Cause Exemption;
Maintain Good Cause Exemption data and reporting to Strategic Initiative; enter IREAD data into Power School for all Special Education third graders. - Compose, independently or from oral instructions, note or rough draft, a variety of materials such as inter-office communications, forms, letters, memoranda, agenda items, lists, notices, requests and other materials; duplicate, assemble, distribute, collect, verify, and assure accuracy and completeness of various documents and reports.
- Maintain Teacher of Record (TOR) caseloads and assist with compiling and maintain Paraprofessional Information folders; collaborate with Human Resources to determine eligibility of teachers to make assignments for Homebound.
- Serve as a liaison between the supervisor, manager, or unit head, other departments and sites, outside agencies and the public concerning assigned functions and activities. Refer difficult issues to the supervisor as necessary.
- Input and update a variety of data in an assigned computer system for Medicaid, Indiana Medicaid IMAC, Nonpublic Annual Pupil Count (APC) budget for homebound, December and April 1 Count; establish and maintain automated files and records; create queries, develop spreadsheets and generate various computerized lists, forms and reports; assure accuracy of input and output data.
- Perform a variety of clerical accounting duties; calculate, prepare and revise accounting and budgetary data; balance, monitor and update accounts and budgets with income and expenditures to include conference and travel; identify and resolve discrepancies; detect errors and make corrections.
- Perform related duties as assigned by the Administrator to meet the needs of the building/unit.
