PURPOSE

The Nutrition Services Business & Compliance Coordinator is the department’s hub for money, metrics, and guardrails. The role transforms complex financial and program data into clear, timely insights; ensures compliance and documentation are audit-ready; and coordinates with Accounting, Fiscal Affairs, Purchasing, and Payroll to facilitate swift decision-making and maintain robust controls. Operating as a non‑signatory preparer and validator, the Coordinator monitors revenues and expenses, streamlines processes, elevates data quality, and supports leaders and sites with reliable information and practical guidance.

MINIMUM

QUALIFICATIONS
  • Bachelor’s in Business, Accounting/Finance, Public Administration, Data/Analytics; or equivalent education/experience.
  • Three (3)+ years in financial tracking/analysis, compliance, or operations; K‑12 school nutrition or public‑sector experience preferred.
  • Advanced Excel/Sheets (pivot tables, lookups, error‑checks), comfort with large CSVs; dashboard/reporting tools (Power BI/Tableau) preferred.
  • Working knowledge of USDA School Nutrition Programs and 2 CFR 200 (allowable costs; procurement methods/thresholds); basic accounting (accruals, accounts payable/receivable, depreciation).
  • Strong written and verbal skills; able to translate policy into checklists/SOPs and clear variance narratives.
  • Valid Indiana driver’s license and ability to travel between district sites.
ESSENTIAL FUNCTIONS
  • Deliver the monthly close by the 5th with concise variance notes; maintain KPI dashboards and the data dictionary.
  • Monitor monthly revenues and expenses; prepare variance analyses and forecasts for the Director, with clear drivers and recommended actions.
  • Maintain cadence/checklists for applications, benefit issuance, direct certification, verification; prepares monthly claim and route for Director review/signature then submit; keep audit‑ready files; support corrective actions.
  • Maintain the procurement calendar; classify purchases by threshold (micro/small/sealed); perform allowability checks (2 CFR 200); prepare quote logs, independent cost estimates, sole‑source documents; draft Board‑recommendation language; maintain the procurement history file.
  • Act as single point of contact with Accounting, Fiscal Affairs, Purchasing, Payroll, NPC and School Operations; log issues and document resolutions.
  • Prepare adult meal and non‑program foods pricing analyses/tools to demonstrate cost coverage; maintain records for Director review/approval.
  • Monitor cash reconciliation completeness/timeliness and ensure month‑end filing aligns with SOPs.
  • Maintain the asset register with useful life/depreciation data; coordinate required IDOE pre‑approvals; manage disposals/auctions; monitor inventory accuracy for the department.
  • Manage Nutrition Services incentive bonus programs – prepare eligibility lists, perform quality assurance, and submit accurate payout files to Payroll on schedule; adapt as additional programs are approved.
  • Protect source‑of‑truth datasets across TITAN/LINQ, Nutrislice, Business Plus, UKG, Power BI/Excel/Sheets, and SharePoint; maintain SOPs, checklists, and job aids; deliver brief trainings and keep version control.
  • Identify process gaps; recommend automation and policy/process updates to reduce cycle time and error rates.
  • Perform related duties as assigned by the Director of Nutrition Services to meet the particular needs of the department and demonstrate participation in and contributions to the goals of the district cross‑functional teams.
