Office Administrator/ Coordinator, Sales Administrator
RealREPP, a full-service recruiting firm, is currently partnering with a growing, stable, and nationally recognized building services organization to assist them in hiring a Service Sales Support in [Location].
This role is responsible for partnering closely with outside sales teams to develop cost-effective, accurate, and timely proposals for repair work while maintaining strong relationships with external vendors. The Sales Support Specialist manages work requests, prepares and routes Extra Work Authorizations (EWAs), ensures data accuracy across internal systems, and provides essential administrative support—playing a key role in customer satisfaction, operational efficiency, and proposal quality.
Responsibilities- Partner with outside sales to meet customer needs by producing timely quotes and completing proposal submissions.
- Seek to understand customer requirements and develop competitive, accurate estimates and proposals, coordinating technical input from internal teams when needed.
- Maintain current work requests submitted by technicians, typically using Excel, and ensure accurate file management within the quoted work database.
- Upload and maintain information on SharePoint to support team visibility and collaboration.
- Ensure EWAs are properly assigned to Account Managers; gather vendor cost information; obtain internal approvals; and send completed quotes to customers.
- Upon customer approval, assist Account Managers with job setup, including communicating job information to dispatchers.
- Provide general administrative support to assigned Account Managers and the broader Sales Support team.
- Make decisions within established guidelines and seek manager input for escalated or non-routine situations.
- Maintain accuracy, confidentiality, and strong customer service throughout all support activities.
- Perform additional sales support duties as assigned.
- High School diploma or GED required.
- 2–4 years of related experience, which may include commercial HVAC, estimating, or parts/counter sales.
- Proficiency in Microsoft Excel, Outlook, Word, and PDF applications.
- Strong data entry skills with exceptional accuracy.
- Excellent attention to detail, organization, and time-management abilities.
- Strong verbal and written communication skills.
- Excellent customer service orientation with the ability to work collaboratively across teams.
- Ability to prioritize effectively and manage multiple tasks in a fast-paced environment.
