Job Description

Protective Services Intake Specialist V — Serves as the primary contact in the Complaint and Incident Intake Call Center, Specialized Intake Processing Unit. Handles complex inquiries regarding abuse/neglect/exploitation (A/N/E) across a broad range of health‑service settings, performs triage, analysis, and prioritization of complaints, requests for information, and self‑reported incidents. Manages intakes received by email, postal mail, fax, web portal, voice mail, and referrals from agency staff or other state agencies, ensuring compliance with state and federal regulations.

• Attends work on a regular and predictable schedule per agency leave policy.

• Processes and distributes intake reports for investigations.

• Interprets policies, procedures, rules, and standards for stakeholders.

• Prepares summaries of written and oral complaints and incidents.

• Maintains up‑to‑date knowledge via literature, meetings, seminars, and professional communication.

• Evaluates complaints and assigns priority for investigation.

• Communicates complex information internally and externally to resolve issues or complaints.

Knowledge,

Skills and Abilities

(KSAs)

Knowledge of: State and federal regulatory and assistance programs.
Skills in: Working with ACD call systems and computers.
Ability to: Communicate orally and in writing, normal auditory ability, maintain a professional attitude and behavior with members of the public and co‑workers. Preferred:
General knowledge of Healthcare Regulation, Long‑Term Care, or Regulatory Programs.

Initial Screening Criteria

• Bachelor’s Degree from an accredited college or university.

• Related work experience such as call center, policy interpretation, investigation, customer service, medical/mental health/healthcare, or caseworker experience may substitute for education, up to 4 years.

• Data entry, computer, and typing experience.

Additional Information

• Must be available to work holidays as needed.

• Regular work hours Monday to Friday 10 am – 7 pm (or based on business needs).

• Eligible for telework with required travel to the office as business needs require; teleworkers are responsible for home‑office equipment and are not reimbursed for travel.

• Employees cannot maintain second employment or volunteer with entities that could benefit from confidential information known in the official position; required submission of Form HR 0302 per HR policy.

• HHS employees are prohibited from working or volunteering with contractors or other agencies in conflict of interest per the Ethics Policy.
