Role Overview:

The Child Services Assistant supports the clerical and administrative needs of the office. You will assist with organizing case files, ensuring documentation is properly retained, and supporting staff in connecting clients to resources. This role requires a high level of collaboration and confidentiality. You will support two supervisors and their teams.

Primary duties may include:

  • Upload, update, and track transition plans, bills of rights, family meeting notes, directives, and medical audits for up to 15 cases per case manager.
  • Track and send Outlook reminders for court hearings and due dates.
  • Remind case managers of overdue tasks.
  • Manage correspondence between the local office and case managers.
  • Maintain the case manager's on-call calendar.
  • Take notes during meetings involving case managers.
  • Complete background checks.
  • Compose meeting agendas as supervisors request.
  • Create court hearings and update outcomes in the data system.

This position is in Franklin, Indiana, and will support offices in multiple regions.

This position traditionally starts at an annual salary of $31,668 but may be commensurate with education and job experience.

Additional responsibilities include:

  • Maintain a variety of files, update case files as new material is collected, and ensure that information is kept organized and that all necessary case documentation is retained in compliance with the record retention policy.
  • Prepare reports involving tabulations and balancing of posted data and simple arithmetic calculations.
  • Answer inquiries over the telephone or in person concerning regulations or procedures within specialized areas.
  • Receive and prepare replies to routine correspondence.
  • Operate office machines related to specific areas of work.
