The Marketing Coordinator provides administrative support to the Marketing team. Duties include data entry, email and telephone communications, entertainment booking, promotional planning, and coordinating signage. The coordinator collaborates with the marketing team to develop and expand the company’s marketing channels, increase and engage the database, and drive revenue. The role supports the company’s culture by actively supporting initiatives that connect BIG dreams to BIG fun.
Responsibilities- Provides overall backup and support to the Marketing Department with planning, implementing, and monitoring marketing campaigns.
- Promptly and professionally answers inbound telephone calls, directs sales calls, and takes/delivers messages appropriately.
- Assists with property promotions as needed and is familiar with all Marketing activities and events, both on property and at community events.
- Accurately inputs marketing invoices in departmental shared files and verifies coding on all marketing invoices.
- Researches and negotiates with vendors to ensure the best pricing on marketing collateral/materials.
- Prepares and logs all purchase requests, purchase orders, and check requests for the Marketing team.
- Orders marketing office supplies and other materials as needed.
- Assists Database Coordinator with generating offers/target lists for direct marketing initiatives.
- Assists with tracking approvals, checking for accuracy on all variable data and cross-checking against the target lists and database.
- Creates and produces promotional and property-wide signage and ensures promotional signage is current.
- Reviews and monitors company website and updates/edits when necessary, including band schedules and promotional information.
- Has a working knowledge of the property and keeps management informed of any misinformation or outdated material.
- Books live entertainment at the discretion of the Marketing Director/Manager.
- Maintains and updates entertainment schedules and contact logs, confirms booking dates and times, and ensures entertainment guidelines are received by all new acts.
- Provides BIG Service to internal guests and ensures their complete satisfaction, greeting and interacting with guests in a friendly and enthusiastic manner, anticipating and meeting guest needs and preferences, remaining calm and professional when dealing with guests that are difficult or upset.
- Develops and maintains professional, trusting, and positive working relationships with managers, supervisors, staff, coworkers, guests, and vendors.
- Ensures that work activities are completed accurately, efficiently, and in a timely manner.
- Works safely, following company safety policies and procedures, caring about safety of self and others, responding appropriately in an emergency, and reporting unsafe conditions.
- Maintains regular attendance at scheduled shift and staff meetings.
- Maintains professionalism and a friendly and approachable demeanor throughout the workday.
- Assists with training/mentoring of new Team Members as requested.
- Maintains all appearance standards in accordance with established uniform and appearance guidelines.
- Informs manager on duty of any irregularities and unusual situations when they occur.
- Maintains confidentiality related to all department and property information.
- Handles high‑stress situations with a friendly, calm, and helpful demeanor in a continuously fast‑paced environment.
- Acts with honesty and displays a high degree of integrity.
- Works independently with little to no supervision or as part of a team.
- Complies with all legal or company regulations for working in the industry.
- High school diploma or GED required.
- Related experience preferred.
- Must be 21 years or older.
- Basic Microsoft Office skills and knowledge of modern office equipment required.
- Excellent written, oral, and interpersonal skills.
- Must pass all required pre‑screening and background checks.
