Medical Receptionist

We are a busy optometry office located in Franklin, MA. We are hoping to fill an open position at our front desk. This role is essential in our day‑to‑day happenings in the office and is a vital part of our patient care.

This is a part‑time role including some morning and some evening shifts, with no weekends or holidays. Schedule flexibility is a must.

As a medical receptionist, you make the first impression on our office. A warm and inviting personality is a must. We look for a great team player!

Responsibilities
  • Welcomes and greets patients and visitors in person and over the phone
  • Verifies patient insurances at the time of appointment and upon arrival
  • Collects outstanding balances and co‑pays
  • Answers the phone while maintaining a polite, consistent tone using proper telephone etiquette
  • Documents in the patient record as required
  • Maintains the reception area clean and organized
  • Registers new patients and updates existing patient demographics by collecting detailed patient information including personal and financial data
  • Facilitates patient flow by notifying the provider of patients’ arrival, being aware of delays, and communicating with patients and staff
  • Responds to inquiries from patients, prospective patients, and visitors in a courteous manner
  • Keeps office supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring equipment
  • Protects patient confidentiality, ensuring that protected health information is secured in accordance with HIPAA regulations
Education Requirements
  • High School diploma or equivalent (GED)
  • Knowledge of clinical procedures and medical terminology
  • Knowledge of office procedures—including administrative processes, claims processing, preparing patient charts, and basic computer skills
Experience and Skills
  • Previous office administration or receptionist experience, or a minimum of one year of work experience in a medical office setting
  • Skills:

    Telephone etiquette, customer service, basic Word and Excel programs, time management, multitasking, organization, scheduling
Telephone Etiquette

When a patient calls in, the front‑desk personnel’s handling of the call determines how the facility is perceived. The medical office receptionist must be a good listener, maintain confidentiality, and exhibit good phone manners.

Customer Service

Giving patients personal attention can go a long way in establishing a positive experience with the facility. The receptionist should give the patients a warm welcome when they enter the office. Even if a verbal greeting is not possible, eye contact conveys awareness and a commitment to prompt service. If a patient brings a problem, it should be addressed immediately and brought to the office manager’s attention.
