As our Executive Assistant for C-Level, you'll be the trusted confidant, problem-solver, and mastermind behind seamless operations. No two days will be alike as you navigate complex assignments with independence and initiative. You'll manage calendars, plan meetings, and handle logistics, ensuring no detail is overlooked. You will also be the main point of contact for internal and external inquiries, providing outstanding customer service.
Key Responsibilities- Serve as the primary administrative resource for the Executive, including managing correspondence, e‑mail, telephone and voicemail communication, opening and sorting mail, ordering supplies, filing, completing expense reports, and general administrative functions.
- Plan, conduct, lead, and complete complex assignments requiring independent action and initiative, such as developing and monitoring budget activities, tracking project performance, coordinating administrative activities, and evaluating progress to recommend procedural changes.
- Manage and maintain calendars, coordinate schedules, and handle a variety of meeting logistics, including conference calls and travel itineraries.
- Provide outstanding customer service and act as the main point of contact for all internal and external inquiries.
- Prepare the Executive for meetings, bring urgent matters to their attention, and handle emergencies and routine matters on their behalf.
- Prepare materials for board presentations.
- Conduct independent research, review, retrieve, and analyze information from files and create executive summaries, reports, and spreadsheets. Learn and master statistical software programs.
- Coordinate travel arrangements, including conferences and complex group meetings.
- Maintain familiarity with ministry goals, policies, and procedures, and understand inter‑departmental relationships.
- Complete other duties as requested by the Executive and participate in regional and national travel as required.
- Minimum 4 years executive-level administrative experience.
- Advanced knowledge of administrative and clerical procedures and principles for a service‑oriented environment.
- Computer literacy, including Microsoft Office (Word, Outlook, Excel, Access, Publisher, PowerPoint, Visio) and specialized software as determined by the ministry.
- Strong research skills and ability to use multiple sources to support strategic decision‑making.
- Project management skills with the ability to manage multiple projects concurrently.
- Strong written and verbal communication and presentation skills.
- Ability to handle sensitive and confidential information with discretion.
- Flexibility and adaptability to others’ needs and priorities, using discernment to prioritize.
- Creativity, initiative, and innovation in routine and non‑routine situations.
- Excellent interpersonal skills and capacity to maintain constructive relationships over time.
