Orthodontic Office Assistant
Heartland Dental is seeking a Business Assistant with orthodontic office setting experience to join our patient-centered, high-performing orthodontic team in Deerwood Orthodontics – Franklin (Loomis).
What You’ll Bring- 1+ year of experience in an orthodontic office setting
- Background in financing, insurance verification, or treatment coordination
- Proficiency with dental or orthodontic software (Dentrix, Ortho Trac, etc.)
- Strong communication and organizational skills
- Team player with a professional, compassionate demeanor
Schedule: Monday–Thursday, 7:30 AM – 5:00 PM
Compensation: $20.00 – $22.00 per hour (based on experience)

More AboutThe Role
- Greet and welcome patients as they enter the office to create a great first impression
- Manage front office duties, including answering phones, checking mail and email, and communicating with patients and insurance companies
- Utilize Dentrix for patient scheduling and records
- Schedule and confirm appointments for multiple providers in the office
- File patient insurance claims and follow up on outstanding claims, including verification of benefits and explanation of coverage
- Process insurance and patient payments, post accounts receivable, and review treatment plan fees with patients
- Partner with providers and the team to implement Heartland Dental systems to optimize office potential

- Excellent communication and organizational skills
- Ability to handle minimum PHI necessary for performing job‑related functions; regular HIPAA training will be mandatory and PHI must be protected
- 1+ years of experience in a dental or medical setting
- 1+ years of experience with insurance billing and accounts receivable
- Experience with Dentrix or other dental software
- Ability to perform essential duties with or without reasonable accommodation
- Prolonged periods sitting at a desk and working on a computer
