Job Overview

Provide administrative and operational support to the Contracts Department. This role assists with reviewing, preparing, routing, and organizing GPO customer tier access requests, supporting the department email box, issuing distributor chargeback credits and managing and maintaining pricing levels. This role also addresses customer pricing concerns (GPO/IDN/Local agreement related) which are investigated, corrected and credits issued as warranted.

Job Responsibilities and Essential Duties
  • Provide support to all members of the Contracts Team in the completion of required documents to obtain or maintain Group Purchasing Organization (GPO)/Integrated Delivery Network (IDNs)/Local Agreements.
  • Manages the HMContracts email box.
  • Attend all Product Development and Redbooth meetings as the Contract Department representative.
  • Maintain worksheet showing upcoming Adds, Delete, and Changes to items on Contract.
  • Notify the appropriate Contract Team members when updates/adds/deletions need to be made to item numbers on GPO/IDN/Local contracts.
  • Review all customer GPO contract activations and either approve or not approve. Notify distributors, if applicable on behalf of the customer.
  • Communicate with Distributors regarding new or updated GPO/IDN/ Local Agreements with the contract number and terms.
  • Building, updating, and auditing of unique Price Level tables in Great Plains as required for GPO/IDN/Local Agreements. Send to IT to load into Great Plains.
  • Manages the GPO/IDN/Local Agreements in CAPS a Healthmark created application to manage fee reports, and Salesforce (CRM) to include contact names, telephone numbers, email addresses and other relative information.
  • Receive and process all Rebate/Chargeback Requests received from Distributors for Contracted products and verify information, enter in Great Plains and send it to the Accounts Receivable Dept to process.
  • Work collaboratively with Customer Service, Accounts Receivable, and the Collections Departments should a customer experience a pricing discrepancy on items that are on a GPO/IDN/Local contract.
  • Audit of Price Lists, Product Brochures, and Mailers as required by Marketing.
  • Develop and maintain Standard Operation Procedures (SOPs) for the Contract Dept.
  • Maintain the Sales Velocity (SV) listing for all contracted items.
Required Knowledge,

  • Ability to read and understand written and verbal job instructions and procedures.
  • Excellent oral and written communication skills.
  • Good conference call/meeting technique.
  • Type 50 WPM.
  • Organization skills and attention to detail.
  • Critical thinking skills.
  • Highly proficient in Microsoft Office Suite and Outlook.
  • Ability to multi‑task effectively.
  • Previous Customer Service experience preferred.
  • Analytical Person.
  • Uses Computer, Printer, Copier, Fax Machine, Scanner.
Minimum Requirements
  • Bachelor’s degree or equivalent experience.

  • Must have the education and experience to understand and comply with U.S. and Worldwide medical device regulations (As applicable to your job function).

Environmental/Safety/Physical Work Conditions
  • Minimum 40 hours per week.
  • Must be able to Travel/Fly.
