Job Title: Administrative Assistant

Pay: $65,000–$75,000 annually (no flexibility)

Work Schedule: Monday–Friday, 9:00 AM – 5:30 PM 5 days onsite (no remote flexibility)

Job Description:

Our client is seeking a proactive and detail-oriented Administrative Assistant to support daily office operations and an Asset Management team. This is a hands‑on, in‑office role focused on keeping the office running efficiently while providing administrative support across departments and multiple time zones.

Key Responsibilities:
  • Provide day-to-day administrative and office support to a team of professionals
  • Manage calendars, schedule meetings, and coordinate conference room and virtual meeting logistics
  • Greet visitors, answer phones, and manage incoming and outgoing mail and deliveries
  • Maintain office organization, including kitchen and common areas
  • Arrange domestic and occasional international travel and prepare expense reports
  • Prepare, format, and proofread documents, presentations, and reports
  • Coordinate document execution and approvals using electronic signature tools
  • Maintain and update internal databases with property and contact information
  • Route invoices and documentation to appropriate internal and external stakeholders
  • Support onboarding logistics for new hires
  • Assist with ad hoc administrative and reporting projects
  • Obtain Notary Public certification and serve as the office notary (fees paid by employer)
Qualifications:
  • Bachelor’s degree from a four-year college or university (required)
  • 3–5+ years of experience in high-volume administrative support
  • Strong Excel skills, including formulas and pivot tables
  • Experience preparing expense reports and supporting multiple individuals
  • Excellent written and verbal communication skills
  • Highly organized, detail-oriented, and self‑motivated
  • Comfortable working with teams across multiple time zones
  • Real estate or financial services experience is a plus, but not required

    Approximately two weeks after offer
