Job Summary /Basic Functions

The University of Mary Washington has an exciting opportunity to join our team as an Assistant Director of Finance – University Facilities Management. This pivotal role is responsible for the overall financial health, integrity, and strategic fiscal planning for all facilities operations, maintenance, capital projects, and utility management. The Assistant Director ensures compliance with all university, state, and federal financial policies and contributes to data‑driven decision‑making to optimize the use of resources for the physical campus environment.

Job responsibilities include, but are not limited to:

Budget Management & Reporting:

  • Lead the development, administration, and monitoring of the multi‑million dollar annual operating and capital budgets for Facilities Management.
  • Conduct in‑depth variance analysis, budget forecasts, and financial modeling to provide insights and recommendations to departmental leadership.
  • Prepare and present accurate, timely, and comprehensive financial reports and dashboards for internal stakeholders and university administration.

Financial Operations & Compliance:

  • Oversee all financial transactions including accounts payable, accounts receivable, inter‑departmental billing, and purchasing/procurement activities.
  • Ensure strict compliance with university financial policies, accounting standards (e.g., GAAP), and external regulations related to facilities expenditure and capital funding.
  • Manage and coordinate internal and external audits of the department’s financial records.

Strategic Fiscal Planning:

  • Support the financial planning for major capital projects, deferred maintenance initiatives, and utility consumption strategies.
  • Develop and implement cost‑control measures and identify opportunities for operational efficiencies and cost savings across maintenance, energy, and service contracts.
  • Evaluate the financial viability of new facilities initiatives and proposals.

Contract & Vendor Management:

  • Provide financial oversight for service contracts, leases, and vendor agreements, ensuring cost‑effectiveness and compliance with contract terms.
  • Collaborate with the Procurement department on RFP/RFQ processes for facilities‑related goods and services.

Leadership & Supervision:

  • May supervise and mentor administrative or fiscal support staff within the department, fostering a culture of accuracy and accountability.
  • Serve as the primary liaison between Facilities Management and the central University Finance/Controller’s Office.
Required KSAs/Competencies/Qualifications
  • Expert‑level proficiency in Microsoft Excel for data analysis and financial modeling.
  • Strong knowledge of accounting principles and internal control best practices.
  • Excellent written and verbal communication skills with the ability to clearly articulate complex financial information to non‑financial audiences.
  • Proven supervisory and leadership skills.
Required Experience
  • Demonstrated progressive responsible experience in financial management, budgeting, and accounting.
  • Demonstrated experience managing budgets in a complex institutional environment, preferably in higher education, public sector, or facilities/construction management.
  • Experience with advanced financial reporting and enterprise resource planning (ERP) systems (e.g., Banner, Oracle, SAP, People Soft).
Additional Considerations
  • College degree in Accounting, Finance, Business Administration, or closely related field, or a combination of education, training, and experience.
  • Previous experience in higher education, public sector, or facilities/construction management.
  • Relevant professional certification.
  • Direct experience with facilities capital project funding and utility budget management.
