The Medical Front Office Receptionist is the first point of contact for patients and families, providing a warm, welcoming, and professional experience. This role is responsible for patient check-in/check-out, appointment scheduling, insurance verification, and maintaining smooth front desk operations. The ideal candidate is organized, customer-service focused, and able to thrive in a fast-paced clinical environment while ensuring accuracy and exceptional service.
Key Responsibilities Patient Reception & Customer Service- Greet patients and families warmly upon arrival and assist them throughout the check-in process.
- Answer incoming calls, respond to patient inquiries, and direct calls to appropriate staff.
- Provide friendly and efficient customer service, ensuring a positive clinic experience.
- Maintain confidentiality and adhere to HIPAA standards at all times.
- Verify patient demographics, insurance information, and required documentation at each visit.
- Collect copays, outstanding balances, and process payments accurately.
- Schedule follow-up appointments, referrals, or specialist visits as needed.
- Ensure proper documentation and completion of visit forms, authorizations, and paperwork.
- Schedule appointments, manage provider calendars, and confirm appointments with patients.
- Update and maintain patient records in the Electronic Health Record (EHR) system.
- Assist with daily operational tasks such as filing, scanning, faxing, and updating patient forms.
- Monitor waiting room flow and communicate with clinical staff regarding patient readiness.
- Support clinic staff by coordinating communication between patients and back-office teams.
- Verify insurance coverage and eligibility prior to visits.
- Explain copays, deductibles, and billing policies to patients when necessary.
- Ensure accurate entry of insurance details and notify appropriate staff of discrepancies.
- Assist with processing referrals and obtaining prior authorizations, if applicable.
- High school diploma or equivalent required.
- Bilingual in English and Spanish.
- Prior medical office or healthcare receptionist experience preferred.
- Knowledge of insurance verification and basic medical terminology a plus.
- Strong computer skills; familiarity with EHR systems (Next Gen experience preferred, if applicable).
- Excellent communication, customer service, and multitasking abilities.
- Ability to remain calm, professional, and organized in a fast-paced environment.
You must be available for shifts between 7:30AM to 8:00 PM during weekdays and on rotating weekends, 8:00 AM to 4:00 PM
