The Opportunity

Providing outstanding patient care is a cornerstone of our business. As a Booking Team Specialist, you are responsible for administrative functions related to assisting patients with documents, appointments, and gathering patient information that will be used to determine what services are necessary. The Booking Team Specialist demonstrates strong internal and external customer service skills and a high level of knowledge relating to organizational services and processes.

Responsibilities

  • Responsible for scheduling and coordinating appointments for patients into designated clinic days and Health Care Practitioner schedules

  • Work with the team to provide input on the day-to-day administrative duties that align with business strategies and goals

  • Responsible for answering all phone calls and email queries from patients, licensed producers, business partners and other parties promptly

  • Ensure that incoming referrals, faxes, and prescriptions are responded to and acted upon in a timely manner

  • Assist with scanning and indexing medical records

  • Create and update patients' electronic health records

  • Provide administrative reports and make corrections to ensure accurate record keeping

  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization

  • Prepare correspondence between medical providers and their patients

  • Provide exceptional quality customer service to patients at all times

  • Ensure that job activities are aligned with established strategic business goals and targets

  • Maintain professional and technical knowledge by studying all information and updates provided by supervisors and the management team through attending all meetings and reviewing all internal emails and relative procedural data bases.

  • Communicate any complaints, problems and concerns to the appropriate individuals or departments

  • Adhere to confidentiality policies with all data, including patients, employee and operational data

  • Adhere to quality assurance and compliance with all regulatory requirements

  • Attend scheduled department staff meetings and provide regular reporting to the team lead

  • Participate in continuing education activities

  • Assist in the orientation of new staff

  • Other duties as assigned

  • Experience

  • Bilingualism (English/French) is required for this role.

  • Shifts - Available Monday to Friday
    8am-6pm EST and Saturday 8:30am-6pm EST

  • Strong Customer Service Experience Excellent listening and communication skills

  • Strong administrative skills

  • Sincere compassion and empathy for the needs of customers

  • A strong sense of personal integrity and confidentiality

  • Ability to define processes and contribute to the growth of the team

  • Ability to work independently

  • A medical background would be an asset

  • Ability to work variable shifts
