Executive Administrative Assistant
We’re looking for a proactive, tech‑savvy Executive Administrative Assistant to provide high-level administrative support to a senior executive in a fast‑paced, entrepreneurial environment. This is a hybrid, part‑time role (20 hours/week)—perfect for a polished professional who thrives on organization, communication, and efficiency.
You’ll be trusted to manage sensitive information, anticipate needs before they arise, and bring strong problem‑solving and technical skills to every task.
Key Responsibilities- Serve as the right hand to the executive—anticipating needs, prioritizing tasks, and ensuring nothing falls through the cracks.
- Manage complex calendars, schedule meetings, and coordinate both virtual and in‑person events.
- Handle confidential information with discretion and professionalism.
- Coordinate travel arrangements, itineraries, and expense reporting.
- Draft, edit, and manage correspondence (emails, letters, presentations, etc.) in a professional and polished manner.
- Support bookkeeping and expense tracking through Quick Books
. - Maintain and update data in Zoho CRM
, Google Workspace
, and internal systems. - Use Excel to generate reports, track data, and create pivot tables when needed.
- Manage and optimize virtual meeting platforms (Zoom, Google Meet, etc.).
- Leverage ChatGPT and other AI tools for research, document drafting, and productivity support.
- Perform occasional personal administrative tasks (approx. 10% of total workload).
- 3+ years of experience supporting a senior or C‑level executive.
- Proficient in Google Workspace, Quick Books, Zoho, and Excel (pivot tables a plus).
- Highly comfortable using new technologies and productivity tools (ChatGPT experience preferred).
- Strong organizational, written, and verbal communication skills.
- Ability to maintain strict confidentiality.
- Professional, polished demeanor with exceptional attention to detail.
- Self‑starter who takes initiative and thrives in a flexible hybrid environment.
