Position Overview

The Resident Specialist serves as a crucial liaison between the leasing office, maintenance team, and residents, ensuring smooth daily operations and fostering excellent resident engagement. The position focuses on managing resident feedback, coordinating service requests, maintaining strong communication with the maintenance team, overseeing renters insurance compliance, handling lease renewals, assisting with community event planning and budgeting, managing the clubhouse and amenities, and engaging residents through LOFT and social media platforms.

The role supports the efficient operation of our luxury apartment complex, The Edge at Freehold, NJ.

Responsibilities Resident Profile Management
  • Interact with residents daily and record status of resident household in Real Page to “Know Thy Resident”.
  • Monitor and respond to resident feedback via J Turner, focusing on addressing work order surveys.
  • Directly respond to all internal satisfaction surveys and follow up with residents to resolve issues.
Service Request Coordination
  • Print and review daily service requests and assign time frames in collaboration with the maintenance team.
  • Ensure service requests have documented Permission to Enter (PTE).
Maintenance Team Communication
  • Maintain ongoing communication with the maintenance team throughout the day to monitor progress on tasks and appointments. Follow up with residents to keep them aware of when services may occur if emergencies arise.
Lease Renewals
  • Regularly review the renewal report and contact residents with upcoming lease expirations.
  • Process and finalize lease renewals with all necessary documentation.
  • Document and understand why residents are leaving and what may be done to prevent them from submitting notices and staying as residents.
  • Help set expectations for the resident's move‑out process, including fees and MTM charges, PMOIs, Move‑Out inspections, and final day operations.
Renters Insurance Compliance
  • Review and ensure all residents have current renters’ insurance per community policies.
  • Communicate with residents who are no longer in compliance or in a pending period to ensure there is no gap in service.
  • Communicate with the community manager on‑site to charge non‑compliance fees to residents.
Move‑in/Move‑out Coordination
  • Participate in the walk/turn process to assess unit readiness for new or departing residents.
  • Assist to schedule unit turns and organize the property for efficient move‑ins and move‑outs.
Planning & Budgeting
  • Assist with the planning and budgeting of community events in collaboration with the Community Manager and Concierge team.
Community Calendar & Communication
  • Maintain an updated community calendar, ensuring key events like move‑ins/outs and inspections are scheduled.
  • Engage with residents through Active Building and create meaningful interactions by celebrating personal milestones.
Clubhouse & Amenity Management
  • Ensure the clubhouse and amenities are well‑maintained, stocked, and regularly cleaned.
  • Coordinate the replenishment of refreshments and supplies.
Social Media Management
  • Regularly update the community’s social media platforms with high‑quality content showcasing the community lifestyle and promoting available units.
Office Supply Management
  • Track and order office supplies within the assigned budget to ensure the office remains stocked and functional.
Qualifications
  • Strong communication and organizational skills.
  • Ability to multitask and manage time effectively.
  • Experience in property management or customer service is preferred.
  • Familiarity with social media platforms.
  • Basic understanding of maintenance coordination and lease management.
  • Basic MS Office knowledge.

  • 100% update of Resident Profile (KTR) on a monthly basis
  • Achievement of Resident Event Budget
