Job Description Overview

We are seeking a highly motivated and experienced Benefits and Leave Specialist to join our dynamic Human Resources team. This role will be a key contributor to ensuring legal compliance, managing employee benefits reconciliation, developing and implementing HR policies, and administering leave of absence programs. The ideal candidate will possess a strong understanding of HR best practices, employment law, and benefits administration, with a proven ability to work independently and collaboratively in a fast‑paced environment.

Essential Duties and Responsibilities

Benefits Administration and Reconciliation: 25%

  • Manage and reconcile monthly benefits invoices, ensuring accuracy and resolving discrepancies with vendors and internal stakeholders.
  • Conduct regular audits of benefits enrollments and eligibility to maintain data integrity.
  • Assist with the annual benefits open enrollment process, including communication, system updates, and employee support.
  • Serve as a point of contact for employee benefits inquiries, providing timely and accurate information.
  • Analyze benefits data to identify trends and opportunities for cost savings and improved employee satisfaction.

Leave of Absence Management: 25%

  • Administer all leave of absence programs, including FMLA, ADA, CFRA, PFL, and company‑specific leave policies.
  • Manage the leave of absence process from initial request to return to work, ensuring compliance with legal requirements and company policies.
  • Communicate with employees, managers, and HR team members regarding leave eligibility, requirements, and status.
  • Track leave usage and maintain accurate records.
  • Coordinate with benefits providers to ensure seamless integration of leave and benefits.

Compliance and Policy Implementation: 25%

  • Stay up‑to‑date on federal, state, and local employment laws and regulations, advising HR team and management on compliance requirements.
  • Conduct internal audits to ensure compliance with HR policies and procedures.
  • Manage the company's EEO and ACA, including data collection, reporting, and implementation of initiatives.
  • Partner with legal counsel to address complex legal issues and mitigate risk.
  • Conduct investigations relating to employees following legal compliance and company policies.
  • Manage worker's compensation claims.
  • Develop, revise, and implement HR policies and procedures to ensure compliance with legal requirements and alignment with company values.
  • Communicate policy changes to employees and provide training as needed.
  • Maintain the employee handbook and ensure it is up‑to‑date and accessible to all employees.
  • Ensure policies are applied consistently and fairly across the organization.

Metrics and Analytics: 10%

  • Utilize HR analytics and metrics to track benefit costs and performance, identify trends, and make data‑driven decisions.
  • Prepare and present regular reports on benefits enrollment, initiatives, and efficiency metrics to senior leadership.

General HR Support: 15%

  • Provide support to other HR functions, such as recruitment, onboarding, employee relations, event planning, and performance management.
  • Assist with HR projects and initiatives as needed.
  • Maintain employee records and ensure data accuracy.
  • Participate in HR team meetings and contribute to the development of HR strategies.
Knowledge and Skills
  • Strong analytical and problem‑solving skills.
  • Familiar with Federal and CA Employment and Labor laws and regulations including FMLA, ADA, EEO, and FLSA.
  • Advanced level of proficiency in HRIS (e.g., Workday, ADP, SAP Success Factors), MS Word, Excel and PowerPoint.
  • Ability to multi‑task, with analytical skills and attention to detail and a high level of accuracy.
  • Ability to perform data and information analysis and draw logical conclusions.
  • Ability to work confidently in a rapidly changing, fast‑paced, and results‑oriented corporate environment where a high degree of flexibility is required.
