Position Summary:

The Executive Assistant (EA) to the CEO provides high-level administrative and strategic support to the Chief Executive Officer of a growing organization. This role ensures the smooth operation of executive functions, coordinates communication across departments, and helps drive key company initiatives. The ideal candidate is organized, discreet, proactive, and understands the fast-paced, customer-focused environment of the HVAC service industry.

Key Responsibilities:

Executive Support

  • Manage the CEO's calendar, meetings, travel, and communications.
  • Prepare and organize executive reports, presentations, and correspondence.
  • Handle confidential information with discretion.

Operational Coordination

  • Liaise with department heads (sales, service, operations, accounting) to ensure timely execution of company initiatives.
  • Track project milestones, KPIs, and follow up on deliverables.
  • Support scheduling, logistics, and documentation for leadership and board meetings.

Communication & Reporting

  • Draft internal and external communications on behalf of the CEO as needed.
  • Summarize key metrics from service, maintenance, and installation teams for executive review.
  • Attend meetings with or on behalf of CEO
  • Take meeting notes as needed

Project & Business Support

  • Assist with strategic planning, budgeting, and vendor management.
  • Research and compile data to inform executive decisions (e.g., competitor analysis, vendor pricing, efficiency trends).
Qualifications:
  • 5+ years of experience supporting senior executives (HVAC, construction, or service industry preferred)
  • Strong proficiency in Microsoft Office and associated programs
  • Excellent written and verbal communication skills
  • Exceptional organizational and time-management skills
  • High emotional intelligence and professional discretion
  • Understanding of HVAC terminology, workflows, and service operations a strong plus
