POSITION DESCRIPTION

TITLE: Temporary PVI Administrative Assistant

JOB CATEGORY: Non-Exempt (Hourly)

STATUS: Part-Time, 18 to 21 hours per week through December 2025

TYPE OF EMPLOYMENT: Temporary

DIRECT SUPERVISOR: Pan Valley Institute Program Director

REGION/UNIT: US / West

LOCATION: Fresno, CA, US In office three days per week

GENERAL SUMMARY OF POSITION

The administrative assistant will support PVI staff, fellows, and volunteers in carrying out all administrative tasks through the implementation of the projects and activities program from June to December 2025.

ESSENTIAL FUNCTIONS / RESPONSIBILITIES AND ACCOUNTABILITIES

  • Assist the program director in maintaining and monitoring the program’s scope of work document and related tasks.
  • Take notes at meetings, schedule meetings, and log meetings in calendars, Teams, or Zoom.
  • Assist PVI staff in processing consultants’ contracts and payments.
  • Support PVI staff with the logistics of training, mentorships, and residential gatherings, including—but not limited to—making follow-up calls, preparing copies, gathering information and assembling packets, assisting with posters, and collecting all necessary materials.
  • Order and organize office supplies include stationery, event supplies, snacks, and related materials.
  • Support PVI staff in monitoring janitorial needs.
  • Oversee minor technical requirements of the office (Wi-Fi, printers, office equipment, etc.).
  • Manage office maintenance needs by contacting the manager or other appropriate individuals when necessary.
  • When needed, arrange services with vendors, venues, suppliers, interpreters, car rental companies, etc.
  • Maintain office hours as assigned.
  • Regular attendance and punctuality are required.
  • Operates safely in all conditions and follows policies and procedures.
  • Other duties and projects as assigned.

SUPERVISORY / MANAGEMENT REQUIREMENTS

MINIMUM EXPERIENCE AND QUALIFICATIONS

  • Associate’s degree or equivalent required.
  • Minimum five years of administrative, office management training, or equivalent experience required.
  • Minimum two years’ experience as a nonprofit administrative assistant required.
  • Ability to work evenings and/or weekends and to travel, as
  • Ability to work effectively independently and within a team environment.
  • Experience with standard Microsoft Office and related technology.
  • Must be capable of working under tight time constraints in a high-volume environment with multiple priorities.
  • Demonstrated ability to work and communicate with diverse staff.
