The pay range for this position is $27.40-$36.59 paid hourly, offers will be based on the successful candidate's experience.
Role & Responsibilities
-Office Support:
Manage supplies and distribute, as needed;
Operate the telephone console, answer and direct calls, take messages, greet and direct visitors; process incoming and outgoing mail efficiently; assist with company vehicle tracking and maintenance.
-Project Support:
Provide coordination and planning support to Project Managers and Engineers throughout all project phases, including, but not limited to, project setup and coordination, subconsultant contracting and compliance, and project schedule.
-Document Administration:
Administer project documents, including contracts, and maintain project management reporting software.
-File Management:
Create, update, and distribute project/client files; generate schedules and reports.
-Budget Tracking:
Assist with tracking project budgets and support accounting with the preparation of client invoicing.
-Meeting Coordination:
Coordinate, schedule and attend office and project meetings, ensuring accurate documentation and follow-up. Coordinate and make travel arrangements for team members.
-Communication:
Assist managers with client and contractor communications, maintaining professional and timely exchanges.
-Change Order Management:
Support change order management, including estimates and quality control.
-Software Proficiency:
Utilize project management or task management software to support project activities effectively.
Qualifications & Education Requirements
-High school diploma or equivalent.
-Extensive experience with architectural, engineering, and/or construction organizations (minimum 2 years).
-Strong planning and organizational skills.
-Proficient in project management or task management software.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
-Excellent communication and interpersonal skills.
-Ability to manage multiple tasks and prioritize workload efficiently.
-Attention to detail and strong problem-solving abilities
