We're looking for an organized, detail-driven Firm Administrator to run the business side of our law firm. You'll handle billing, accounting, payroll, HR and office operations, and report directly to the Managing Partners. Must be driven, intuitive and able to manage several tasks at culture and team environment.
Billing and collections:
Run the monthly billing cycle in Bill4
Time, from time and expense review and pre-bills through final invoices.
Apply retainers, submit LEDES e-bills through client portals (Counsel Link, Legal Tracker), and send AR updates and collection follow-ups.
Accounting:
Handle AP, AR, deposits, wires and ACH in Quick Books and Bill4
Time. Reconcile all bank accounts monthly and produce monthly P&L, balance sheet and billable-hours reports for the partners.
Payroll and tax compliance:
Run payroll twice a month, including 401(k) contributions and matching.
Prepare quarterly 941 and TWC filings and year-end 940, W-2/W-3 and 1099/1096 forms, and work with the firm's outside accountants and 401(k) administrator.
HR:
Manage onboarding and offboarding from start to finish, including paperwork, benefits enrollment, system access and equipment.
Office and vendors:
Manage relationships with IT, software, insurance, building, equipment and marketing vendors.
Attorney support:
Handle CLE, bar dues and admission requests, and set up new client matters.
- Experience in law firm administration, bookkeeping or office management
- Strong working knowledge of Quick Books and Excel (Bill4
Time experience a plus) - Payroll and payroll tax experience
- Excellent organization, discretion and follow-through
- Comfortable working independently and serving as the point of contact person for the office
