The Office of the Registrar serves students and the campus community by providing quality services that facilitate enrollment, retention, and degree completion while maintaining accurate academic records for the University. We are also responsible for processing transfer credit and maintaining articulation agreements with other institutions. Additionally, we register new and continuing students for classes, maintain academic records, prepare transcripts and diplomas, and review petitions for exception to university policy.
Responsibilities- Provide general office, clerical, and secretarial support to students, faculty, staff, and community members.
- Process mail, maintain files and records, process documents and records, gather data, interact with and solve problems for work unit customers and staff.
- Respond to customers via email, telephone, and in person.
- Use a variety of office support technology and systems such as word processing and spreadsheet packages to complete assignments.
- Assist with scheduling meetings and events as needed.
- Perform all student records related functions on Content Management System (CMS) including correcting records if errors exist or advising students on proper procedure for requesting appropriate record adjustment.
- Process written transcript requests from incoming mail.
- Coordinate with National Student Clearinghouse the processing of PDF and electronic transcripts and mail out transcripts as requested by student.
- Research any discrepancies with National Student Clearinghouse regarding transcripts.
- Review and track transcript history; review and notify students of hold or insufficient information on transcript requests by email or phone.
- Retrieve and review petition requests for:
General Education variations, retroactive adds and withdrawals, change in grading basis, change of unit value, postgraduate credit and extension credit transfers. - Review Student Inquiry forms for potential petitions based on Executive Order (EO) 1037 policy.
- Other duties as assigned.
- High School diploma or equivalent and three years of experience in general office, clerical or secretarial work or equivalent.
- General working knowledge of applicable university infrastructure, policies, and procedures.
