About The PositionThe Student Health and Counseling Center seeks an excellent administrative professional to join our team as the Administrative Support Assistant II. The role requires a positive attitude, active and energetic mindset, highly ethical practices, and a commitment to inclusivity, openness, flexibility, integrity, and kindness.
Responsibilities• Greet students and staff at the CAPS reception area
• Schedule, check‑in, and re‑schedule appointments, including handling cancellations and staff absences
• Answer phones, relay messages to more than thirty health providers and staff, and check student eligibility for services
• Enter, scan, and maintain medical records in the electronic medical record system
• Release holds, verify student forms are current, and archive medical records as required
• Prepare subpoenas and perform additional administrative duties for CAPS and other teams, including taking meeting minutes for committees
- High School diploma or equivalent with at least three years of general office, clerical, or secretarial experience
- General working knowledge of university infrastructure, policies, and procedures
- Thorough knowledge of office methods, procedures, and equipment
- Strong command of English grammar, punctuation, and spelling, with demonstrated competence in presenting standard information in writing
- Ability to learn, interpret, and apply complex policies independently, and to identify and resolve deviations from procedures
- Ability to use independent judgment, discretion, and initiative to address problems and develop practical solutions
- Basic arithmetic skills for transactional tasks and data tracking
- Experience working on the front line with a variety of campus and community individuals, requiring active problem solving and interpersonal skills
- Basic typing and keyboarding skills
- Successful completion of a criminal background check
- Previous experience in a mental healthcare setting
- Experience working in a university or community college setting
- Knowledge of HIPAA confidentiality guidelines and familiarity with electronic health records and appointment scheduling software
A valid California driver’s license is required.
