Patient Care Coordinator

Position Summary:
Assists physicians and staff in coordinating patient care. Functions as primary liaison between patients, staff, and physicians.
- Assists surgeon during office hours by facilitating patient flow, checking patients out, scheduling follow‑up appointments, and ensuring that no patient is neglected or delayed unreasonably.
- Provides patient education related to treatment plan.
- Performs clerical duties including copying, faxing, scanning, and filing patient documentation as needed.
- Communicates changes to clinic schedule as needed.
- Responds to patient concerns or questions in a helpful and objective manner involving physician, mid‑level provider, or supervisor as appropriate.
- Coordinates with front desk/registration and clinical team to assist with patient visits, flow, and facilitates rescheduling of appointments when necessary if the physician is running behind.
- Performs other duties as assigned in support of providers.
- Books surgery and completes all associated surgery paperwork, prepares consents, etc.
- Obtains insurance pre‑certification as needed for diagnostic procedures, treatment, medication, or surgery.
- Schedules, cancels, and reschedules all appointments and testing for patients.
- Ensures that any special surgical instruments/devices or DME have been ordered for surgery and post‑op care.
- Sends completed pre‑admission testing to the appropriate surgery location prior to patient surgery.
- Prepares x‑rays and other patient information for the doctor to take to surgery.
- Completes chart preparations to meet physician preferences/specifications, including but not limited to printing documentation from hospital, printing images, and scanning documentation into EMR.
- Responds timely to various communications from providers, patients, peers, and surgery center or hospital staff.
- Completes disability forms or other documents requested by patients, reviewing with physicians as needed.
- Works with Patient Accounts department to facilitate accurate and timely billing, ensuring that charges are entered, e‑bills are complete, and resolving any missing information or answering questions as needed.
- Provides coverage for vacation/sick calls for other team members.
- Places prescription refill orders at direction of physician or mid‑level provider.
- Updates and maintains patient documentation in the EMR system.
- Works cooperatively with coworkers, providers, and management.
- Shares knowledge and insights with co‑workers in a constructive manner.
- Provides coverage to the department, works beyond scheduled ending time when the clinic schedule demands it, and volunteers to cover time off or unexpected absences, maintaining workflow without direct supervision.
- Addresses conflicts directly before involving manager or uninvolved peers.
- Considers others with regard to taking breaks or meal periods, use of computer and telephone, and noise in the department.
- Knows and complies with policies and procedures as enumerated in the Orthopedic One Employee Handbook and related documents.
- Provides assistance and support to leadership in implementing policies and procedures as necessary.
- Actively participates in training and conducts day‑to‑day work activity by adhering to all policies and procedures as enumerated in compliance and risk management programs.
A high school diploma/GED required. Previous experience in a medical office setting required.
