Job Description:The Academic Assistant II will provide academic and administrative support in the Department of Academic Sciences in the College of Agriculture and Life Science. The position supports the department’s academic programs by managing course scheduling, academic activity reports, faculty assignment reports, effort reporting, textbook adoptions, maintaining academic data, and assisting with student events. The role also provides front‑office support including reception, mail and package management, supply coordination, room reservations, and the upkeep of shared departmental spaces.
Additionally, the position serves as backup support to the Department Chair’s office by screening calls, assisting visitors, and ensuring smooth day‑to‑day administrative operations.
- Collect, prepare, and submit Academic Activities Reports, Faculty Assignment Reports, and Effort Reports.
- Manage course scheduling: prepare and update the preliminary and final schedule of course offerings; process online requests for additions, delegations, and revisions.
- Provide academic advising support by coordinating student check‑ins, triaging drop‑ins, and managing the student Listserv and undergraduate TEAMS page.
- Support data projects related to enrollment, scheduling, grades, graduation, alumni, and faculty evaluations.
- Plan and coordinate student events including Senior Luncheons, Scholarship Reception, New Student Orientation, and Coffee Connections.
- Oversee textbook adoptions and assist faculty with submitting textbook adoptions each semester by the reported deadline.
- Receive calls, greet students and visitors, and refer inquiries to the appropriate faculty or staff.
- Sort and distribute mail and packages daily and complete mailing slips for letters and packages being mailed off campus.
- Ship and monitor Fed Ex packages; maintain a package log and ensure perishable packages are stored properly to prevent loss.
- Maintain departmental supplies for the academic office and notify the appropriate person when items are needed.
- Secure exterior building doors and the Student Center at close of business.
- Answer incoming calls on the Undergraduate Coordinator line, transfer calls, and take messages as required.
- Make room reservations for faculty, students, and staff and schedule rooms for recurring course meetings during each term.
- Collect the proper forms from students who are defending and order the binding of their thesis and dissertations.
- Help with laminating pages for faculty and students and organize and maintain the departmental mailroom.
- Support the Department Chair by answering department lines, receiving messages, screening calls, and distributing parking passes to visitors.
- Complete other duties or special projects as assigned.
- High school diploma or equivalent and three years of relevant experience.
- Bachelor’s degree.
- Professional demeanor, positive attitude, excellent customer service, and teamwork.
- Ability to work independently, manage and prioritize multiple responsibilities, and consistently meet deadlines.
- Previous admissions, academic advising, or related higher education experience.
- Excellent communication, organizational, and computer skills (including MS Office Suite).
- Critical thinking and problem‑solving skills; proactive ownership of responsibilities.
Monday through Friday; any 8‑hour shift with a half‑hour or full‑hour lunch between 7:30 a.m. and 5:00 p.m.
Compensation:$19.00 – $21.00 per hour, commensurate with education and experience.
