- Fiscal Support: Adheres to and interprets University financial policy and procedures. Responsible for complex calculations, collection, and verification of financial data and processing of account transactions. Functions independently in accounting and budgetary tasks and serves as a resource providing higher level support within the department's fiscal environment. Creates requisitions for various types of purchase orders, processes all departmental invoices, processes PCard transactions, reconciles charges, reviews PCard aging reports monthly, performs monthly financial and fiscal tasks including billing of commitment and outside revenue, audits, tracks and monitors operating and FCPA expense accounts, prepares invoices for internal billing, tracks and reports Foundation balances monthly.
- Human Resources: Assists with the department's human resource functions including payroll and leave processes; hiring processes; onboarding of new hires; and other necessary personnel actions. Completes job actions such as posting for recruitment, closing out job requisitions, gathering required hire documents, staying current on UF's HR policies and labor laws, obtaining signatures for Personnel Request Forms, initiating ePAF for hires, terminations, and job changes, and reviewing payroll reports for issues.
- Facilities & Equipment Management: Coordinates maintenance/repair, relocation of equipment, lab moves and close‑outs, notifies department, schedules movers, ensures connections (plumbing, electrical) are functional, issues POs for repairs and annual maintenance contracts, reviews contracts, acts as Asset Manager to remove/survey out damaged equipment, conducts annual property inventory, acts as IT coordinator for new computer equipment, maintains inventory and age tracking, advises on new purchases.
- Space Reporting: Manages system for space reporting, schedules meetings, coordinates assembly of evaluation material, maintains database, and transcribes reports.
$25.00 - $27.00 per hour
Required Qualifications- High school diploma or equivalent and seven years of relevant experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate.
- Excellent organizational and communication skills.
- 1-3 years of experience with MYUFL, Microsoft Office programs, Adobe, and Human Resource Services.
- Knowledge of and experience with university and state regulations regarding human resources and unit operation procedures.
- Critical thinking, analytical and problem‑solving skills, including researching and analyzing complex data to develop accurate reports.
- Excellent customer service and professional attitude in all interactions, communications, and appearance.
- Ability to establish and maintain effective working relationships with faculty, administrative staff, and other campus departments.
- Teamwork, ownership of problem resolution, flexibility, accountability, management of conflicting responsibilities, prioritization, and consistent meeting of deadlines. Self‑motivated and capable of working independently.
- Strong people and team management skills are preferred.
