Job Description Grant Management / Post Award
  • Work with departmental and institutional units to ensure all awards are fully executed, processed by the Division of Sponsored Programs (DSP), and assist Department Assistant Directors in managing awards.
  • Manage and monitor all awards or award modifications through completion by DSP.
  • Ensure the timely processing of all awards or award modifications.
  • Collaborate with PIs and DSP to receive award notifications, review proposed and funded budgets for changes, and provide budget item justifications per sponsors' requests.
  • Resolve any outstanding items that could prevent awards from being published by DSP.
  • Work directly with Departmental Assistant Directors to ensure appropriate post‑award management.
  • Complete no‑cost extension requests by Departmental Assistant Directors with the sponsor and/or DSP.
  • Ensure the completion of reports to funding agencies.
  • Provide data for faculty reporting across all academic areas, including faculty promotion and tenure packets, yearly evaluations, requests for proposals, searches of funding from agencies, and research applications.

Effort Reporting
  • Manage the effort reporting process and certify each semester all faculty and staff research, and teaching effort, working with the department administrator to ensure accurate entry.
  • Prepare grant reports, financial projections, and attend meetings as needed with the Principal Investigator and Director; assist with special tasks and projects as assigned.

Expected Salary: $68,000–$75,000 per year

Required Qualifications: Bachelor’s degree and three years of experience in grant and contract administration; or an equivalent combination of education and experience.

Preferred Qualifications
  • Independently functional in all modules of UFIRST.
  • Proven ability to submit federal and non‑federal grant proposals.
  • Experience in pre and post award grant management for basic science projects and clinical trials.
  • Demonstrated ability to read and process grant awards via UFIRST and provide guidance to PIs/staff/sponsors.
  • Experience using the myUFL financial system; able to look up balances, chart field information, HRACs, award information, etc.
  • Familiarity with University policies and procedures related to pre and post award grant management.
  • Strong verbal and written communication skills.
  • Excellent organizational skills.
  • Demonstrated experience operating in Microsoft Excel.
