Job Description

Assistant In Advising – Full‑time, 12‑month, promotion‑only accruing faculty position.

November or early December (negotiable based on availability of successful candidate).

Academic Advising & Student Support
  • Provide proactive, developmental advising to undergraduate students in the Digital Arts & Sciences (DAS) programs, including on‑campus majors, UF Online majors, and DAS minor students, covering course selection, academic planning, degree progress, registration, and graduation requirements.
  • Support student success by helping students set academic goals, connect with campus resources, and overcome academic or personal challenges.
  • Assist students exploring or undergoing a transition to a new major, providing clear information on DAS vs. other program requirements, timelines, and support resources throughout the transition.
  • Advise UF Online students with unique needs such as transfer credit evaluation, online course planning, and navigating UF student services remotely.
  • Interpret and communicate UF academic rules, degree requirements, petitions, withdrawal processes, and curriculum details to students, faculty, and staff.
  • Maintain accurate student records, advising notes, and degree audits.
Admissions, Enrollment & Program Processing
  • Assist with undergraduate admissions for DAS applicants, including application and portfolio review, prerequisite checks, and program eligibility determinations.
  • Guide prospective students and families through admission requirements, transfer credit policies, and the application process.
  • Support enrollment management, registration troubleshooting, non‑major DAS course selection, and other administrative processing related to student progression and course access.
  • Coordinate with the UF Office of Admissions and UF Online One Stop to ensure accurate processing of DAS applicants, timely updates on admission status, and alignment with university admissions standards.
  • Serve as a liaison between Digital Worlds Institute, Admissions, and UF Online to resolve student issues, verify records, and support a smooth transition from applicant to enrolled student.
Student Engagement & Retention
  • Serve as a support touchpoint providing coaching and, as needed, referral to professional help for students struggling with a range of challenges in their academic, personal, and professional lives.
  • Partner with Digital Worlds Institute, College of the Arts, and UF Online on strategies and interventions designed to increase key performance indicators (KPIs) related to student progression toward degree attainment.
  • Maintain regular outreach to students at risk of falling off track, implementing proactive advising campaigns such as registration reminders, off‑track notifications, and academic success check‑ins.
  • Collect and analyze advising data to recommend improvements in student support services, curriculum planning, and retention strategies.
Administrative & Institutional Responsibilities
  • Monitor student progression, conduct degree audits, and prepare reports for enrollment, retention, and graduation tracking.
  • Participate in the Undergraduate Advising Council and UF Online Advising Circle communities of practice to stay connected with central administration as well as colleagues in other COTA units and UF colleges.
  • Contribute to institute‑wide initiatives including assessment and curriculum updates.
  • Participate in training, professional development, and university advising networks to maintain current knowledge of policies and best practices.
