Job Description ESSENTIAL FUNCTIONS OF THE JOB AND THE PERCENTAGE OF TIME SPENT ON EACH FUNCTION Academic Advising and Student Support

Advise Biology undergraduates on major, college, and university requirements, appropriate course sequencing, critical tracking, and graduation planning.

Discuss academic goals, interests, and post-graduation plans and connect students to relevant resources (career, undergraduate research, experiential learning).

Coordinate with pre-health advising team to give appropriate guidance to first-year pre-health biology majors.

Provide guidance to students experiencing academic difficulty and make referrals to appropriate campus offices.

Email communication with students and case management (currently in Salesforce).

Provide support as Department adopts new systems for degree audit, schedule of courses and university initiatives.

Records, Policies, and Monitoring

Interpret and communicate university and CLAS policies and procedures to students.

Maintain accurate advising notes and student records in accordance with university, state, and federal guidelines.

Monitor student academic progress and follow up with students who are off-track, on probation, or approaching excess hours.

Collecting and analyzing data on Biology majors for annual program reporting.

Collect and process research registration forms, final report forms and grades for departmental undergraduate research, teaching and internship forms.

Process thesis proposal forms and honors theses for CALS & CLAS biology majors (track, record, manage communications with students and faculty mentors).

Forms, Petitions, and Degree Progress Activities

Assist with routine student requests such as major changes within Biology, course substitutions when applicable, transient forms, dual-degree/dual-major checks, and graduation certification steps.

Support college/department processes for degree certification by reviewing student records against published requirements.

Orientation/Preview and Outreach

Participate in Preview/orientation/advising events for incoming or transfer Biology majors.

Provide group advising or information sessions on common degree-planning topics.

Assist prospective students and their families in answering questions and planning possible UF visits to learn more about the UF biology program and biology concentrations.

Website/Information Maintenance and Departmental Service

Assist in keeping advising-related information (degree requirements, contact information, forms, and FAQs) current on department platforms.

Participate in departmental and CLAS advising meetings as assigned.

Support BMEC (Biology Major Executive Committee) activities, data collection and analysis for biology major projects, reports or proposals as assigned.

Other Duties as Assigned

Support special projects and programs like Semester of Immersion or study abroad/exchange programs related to undergraduate biology advising and student success.

Other support to the biology majors and department as assigned.

$43,888 to $52,200 per year

Required Qualifications

Master’s degree in education, counseling, or academic field related to the college OR Bachelor’s degree in similar fields with one year of relevant experience.

Preferred

Master’s degree in higher education, student affairs, counseling, or a science/biology-related field.

Demonstrated ability to communicate effectively with diverse student populations.

Experience with UF or similar student information/advising systems (e.g., People Soft, degree audit systems).

Strong organizational skills and attention to detail.

Proficiency with Microsoft Office suite.
