Job DescriptionThe Department of Physics is seeking a Fiscal Assistant II. This position processes financial transactions and provides oversight, guidance, and coordination to fiscal operations in the Department of Physics. The Fiscal Assistant II generally works independently, seeking guidance from the Accounting Manager as needed. This position interprets policy and procedure, and also functions as part of the fiscal team, and directly contributes to continuous improvement, and teamwork.
Responsibilities- As PCard Approver, inspect backup documentation submitted by cardholder, assess documentation, correspond with cardholder for clarifications, verify purchase and funding compliance, approve charges in myUFL, post transactions on accounting spreadsheets, monitor spending patterns, and bring questionable cases to Accounting Manager.
- As Travel and Expense Reimbursement Processor (UFGO), review travel authorizations, confirm supervisor/funding approval, advise travelers on required steps, assess funding and foreign travel compliance, enter travel authorizations, compile travel transactions, review reimbursement requests, obtain necessary approvals, process expense reports, and post reimbursements.
- In Procurement and Disbursements, receive and analyze purchase requests, determine appropriate mechanism (PCard or purchase order), make purchases with own PCard when approved, submit new supplier requests, assess need for quotes per policy limits, input requisitions into myUFMarket, inspect backup documentation, pay invoices via myUF Market, and post transactions.
- Perform other fiscal‑related calculations, activities, monthly reconciliation as tier‑one reconciler, invoice preparation, journal entries, and occasionally prepare reports at the Accounting Manager’s request.
Minimum Requirements: High school diploma or equivalent and three years of general accounts transaction experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for required experience.
Preferred Qualifications:
Experience with the financial module of UFGO, myUFL, myinvesti
Gator, and Microsoft Office programs (particularly Excel). In addition:
- Strong familiarity with University of Florida fiscal requirements
- Strong familiarity with foreign vendors and foreign travel policy
- Strong customer service skills, especially when faced with an unfamiliar question or problem
- Excellent reading comprehension and written communication skills
- Interest in fiscal management as a long‑term career path
Expected Salary: $19.00 – $21.00 per hour, commensurate with qualifications and experience. Compensation includes a full benefits package.
