Overview
Northeast Georgia Health System is rooted in a foundation of improving the health of our communities. Managers and analysts in Materials Management ensure accuracy and completeness of data, data interchange, and training of Materials Management Information Systems (MMIS). This role works closely with other departments on data requests to support those departments and may manage the ERP System as needed, including testing new software releases, configuring modules, enabling workflow improvements, and training new users.
Responsibilities- Maintain/add accurate information and data in the MMIS; manage Master Vendor files as required by Purchasing, Accounts Payable, and reporting requirements.
- Facilitate changes to items, pars, and inventories related to product conversion, standardization, backorder, recall, and substitute processes.
- Build contracts related to MMIS and interfacing programs (e.g., GHX and Vizient).
- Advise on effective software use and procedures to meet the desired environment; support activities requiring specialized system analysis; extract data to enable reporting needs for Supply Chain Management, Finance, and others.
- Lead implementation and maintenance of MMIS to ensure availability and functionality throughout the organization.
- Develop written procedures and policies detailing system operation and changes; update processes and software; train staff on system functionality; perform system testing.
- Maintain a current database for efficient operations; manage employee data in the Employee module (including password updates); oversee functions in the manager utilities section to authorize data entry access.
- Represent Materials Management in liaison activities with Information Systems; act as project leader for software evaluation; participate in monthly MMIS-related meetings; coordinate with Finance to ensure proper month-end close and reporting.
- Ensure smooth workflow within Materials Management; report staffing or workflow issues to Systems Manager; provide training as needed; suggest workflow or procedural changes to gain efficiencies.
- Consistently maintain accurate MMIS data, support item and inventory processes, and enable reporting needs for multiple departments.
- Support system implementation, maintenance, training, and testing to ensure system readiness and reliability.
- Maintain employee and system user data, including password management and access authorizations.
- Collaborate with Information Systems and Finance to ensure efficient operations and reporting alignment.
- Improve workflows and procedures within Materials Management to gain efficiencies and respond to organizational needs.
