The Events Coordinator (internally: Events Planner) plays a key role in planning, coordinating, and executing a range of Aledade team events, including the Aledade All Staff Retreat, other offsite team and customer-facing events, and events at Aledade’s HQ. The role coordinates across internal stakeholders, external vendors, and competing priorities to ensure Aledade’s events are logistically smooth and memorable.
This position is located in our Bethesda, Maryland headquarters. Candidates must live in Bethesda, Maryland or its surrounding areas to be considered.
Primary Duties- Coordinates the planning of various Aledade events throughout the year including many events at Aledade’s HQ in Bethesda, MD, the biannual All Staff Retreat, and other offsite team and customer facing events.
- Develops and executes against a range of tasks in the project plans and provides updates to the planning team, business units, and stakeholders. Owns a range of logistical duties to ensure events run smoothly, such as setting up registration processes, designing name badges, selecting and ordering swag items, setting up and breaking down pre and post event, coordinating catering, and much more.
- Advises Aledade team members on standard protocol and recommended action steps when creating events, as needed.
- Additional project-based work as assigned that will allow for exposure to different parts of the company and contribute toward Aledade's mission.
- Bachelor’s degree or equivalent work experience required.
- 3+ years of direct experience supporting events in a corporate or nonprofit setting.
- Available to work across various time zones and/or non-traditional working hours on occasion, as needed.
- Based in Bethesda area; able to work in-office full time with rare hybrid weeks.
- Able to travel up to 15% during busy season for corporate events.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills; attention to detail and problem-solving skills.
- Comfortable tackling challenges with a high level of autonomy.
- Highly organized and proactive in raising questions around clarity, prioritization, blockers, and other points to drive assigned tasks forward.
- Ability to collect and analyze quantitative and qualitative data, prepare financial reports, and manage events budgets.
- A collaborative team player with a roll-up your sleeves mentality.
- Must be able to work full time out of Aledade’s downtown Bethesda office, with rare hybrid work weeks. Must be able to travel plan and attend corporate events in person as needed (~15%).
- Ability to work non-traditional hours as needed for events.
- Able to walk, stand and move around Aledade’s large HQ for hours at a time on a daily basis, and regularly lift/carry at least 25 pounds as needed. Bending and stooping, as needed.
- Occasionally sitting for prolonged periods of time. Extensive use of computers and keyboard.
- Frequently transport office supplies and catering items through the office space and rearrange office furniture; move operable partitions as needed.
- Able to regularly ascend ladders and stools to stock and organize event related items.
$31.25 - $36 an hour
Hourly Range: $31.25 to $36.00 an hour base + bonus + equity. Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies and experience.
