, you'll orchestrate seamless events—often multiple per week—while managing the day-to-day operations of our bustling HQ that serves as both a vibrant office space and premier event venue. This multifaceted role demands skillful navigation of internal stakeholders, external vendors, and competing priorities, all while maintaining the seamless operations that support our growing team. You'll be the forward-thinking problem-solver who anticipates challenges before they emerge, ensuring our headquarters continues to be the collaborative hub where innovation thrives and meaningful connections flourish across our organization.
This position is located in our Bethesda, Maryland headquarters. Candidates must live in Bethesda, Maryland or its surrounding areas to be considered.
Primary Duties- Assist with a range of duties associated with the smooth daily operations of Aledade’s HQ/Event venue, such as: welcoming remote-first colleagues and visitors to office, maintenance and stocking of pantry supplies and amenities, processing incoming and outgoing mail and packages, ordering and setting up catering, and ensuring the space is welcoming, tidy, and well organized, setting up and breaking down conference rooms, printing name badges, ordering and setting up swag items, setting up, etc.
- Research and order catering and supplies and making recommendations about next steps to the Events Lead, utilizing quantitative and qualitative data
- Support the Director of Work spaces & Experiences as needed to execute on the vision for each event to ensure success
- 2+ years of relevant working experience, including experience as an Office or Banquet assistant
- Bachelor’s Degree in a relevant field liAbility to work full time in Bethesda office with flexibility to occasionally work outside of core business hours
- In-depth understanding of office management and daily operations
- Strong team-centric focus and bias towards action, partnering with fellow Work spaces Assistant to meet company goals
- Hands on experience with Google Suite
- Working knowledge of office equipment, like printers and fax machines
- Excellent verbal and written communication skills
- Strong organizational and time-management skills
- Attention to detail and problem-solving skills
- Excellent customer service and interpersonal skills
- Strong intuition for exercising discretion and confidentiality
- Sitting for prolonged periods of time. Extensive use of computers and keyboard.
- Able to walk, stand and move around Aledade’s large HQ for hours at a time on a daily basis, and regularly lift/carry at least 25 pounds as needed.
- Frequently transport office supplies through the office space and rearrange office furniture; move operable partitions as needed
- Able to regularly ascend ladders and stools to stock and organize office items
$47,000 - $63,000 a year Salary Range: $47,000 to $63,000 base + bonus + equity Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies and experience.
