Essential Duties- Always provide excellent client service to all internal and external clients.
- Answer telephones and email messages in friendly, prompt, and professional manner.
- Monitor phone lines and help the next call in the queue.
- Receive and convey important information in a timely fashion.
- Process, schedule and follow up on quoted jobs from the time they are routed until they are sent to billing.
- Process, schedule and follow up on contracted service inspections.
- Process daily and weekly time for Service Technicians and Apprentices.
- Ensure by the end of the day that each technician is informed of their schedule for the following day.
- Utilize all functions within Wennsoft, SharePoint, and other utilized software systems.
- Monitor and respond to all email and voicemail messages received by Command Center and yourself in a timely fashion.
- Assist all Service Technicians and Apprentices continually; updating contract obligations, maintaining their schedules, issuing purchase orders for supplies/parts ordered, verifying accurate time entries, and proactively assisting with client communications.
- Other duties as assigned.
- High School diploma or equivalent experience and education required.
- 2 years of administrative and client service experience.
- Dispatch experience is a plus.
- Strong computer skills, proficient in MS Office.
- Positive, resilient, self-starter, takes initiative.
- Punctual, multi-tasker, reliable, organized, detail-oriented.
- Strong client service and time management skills, team player, works well with others, friendly.
- Excellent communication and phone skills, motivated, works well under pressure and deadlines.
- Sitting for extended periods of time.
- Ability to work in standard office environment.
