Client Service Representative - Galax Veterinary Clinic
Join Heartland Veterinary Partners as a Client Service Representative (CSR) at Galax Veterinary Clinic, serving Carroll, Grayson, and Surry Counties. The CSR provides exceptional client experiences, manages reception, records upkeep, appointment scheduling, cash handling, and support services.

Reporting to the Practice Manager, the CSR engages clients, performs administrative tasks such as record maintenance and appointment tracking, manages front desk operations, processes payments, and ensures client satisfaction.

- Collaboration & Teamwork – coordinate with doctors and staff, share feedback.
- Communicating – convey clear instructions to clients and teammates.
- Active Listening – follow doctor and client instructions, anticipate needs.
- Organization Skills – track specimens, medications, patient instructions, and workflow.
- Client Satisfaction – ensure highest level of client satisfaction.
- Lead opening and closing procedures per Practice Manager instructions.
- Maintain cleanliness of public areas, front desk, waiting area, offices, bathrooms, and exam rooms.
- Process cash, checks, charge card payments, and credit account payments.
- Schedule appointments following practice and doctor preferences.
- Assist in updating client/patient files as needed.
- Prepare and send client correspondence.
- Send reminder notices and conduct re‑calls from a call‑back list.
- Perform regular computer system backups.
- Oversee daily posting of business activities.
- Welcome clients and patients with warmth and friendliness.
- Answer incoming telephone calls with proper etiquette.
- Present medications, instructions, and take‑home items to clients.
- Handle emergency situations with care, following clinic policies.
- Address client concerns calmly to ensure satisfaction.
- Ability to work weekends as required.
- High school diploma or equivalent.
- Previous veterinary experience preferred.
- Client satisfaction references preferred.
- Experience with OSHA safety techniques and proper PPE.

Benefits may vary depending on full or part‑time status per company policy.
Pay RangeUSD $13.00 – $15.00 per hour.
