Job Summary:

Under the supervision of the nurse manager, or designee, assists in planning, organizing, implementing and evaluating the department’s activities by providing secretarial support and maintaining the physical environment.

Responsibilities Essential Functions
  • Contributes to the design and development of systems that help the department run efficiently.
  • Maintains systems that help the department run efficiently.
  • Accurately compiles daily, weekly and monthly data and statistics as requested.
  • Analyses data and prepares reports as directed.
  • Performs support functions such as, answering phones, preparing materials for meetings, and typing letters and memos as requested.
  • Ensures office supplies are maintained and available for the department to run efficiently.
  • Greets, directs, and provides appropriate information to patients, visitors and hospital personnel.
  • Responds to both in person and telephone customer service inquiries and needs.
  • Provides clerical support to the Mental Health Unit Manager, Charge Nurse, and all other Mental Health Unit Staff.
  • Supports the Department in the preparing of departmental logs, statistics, reports, and payroll as requested by the Mental Health Unit Manager.
  • Supports the Department in the creating, copying and distributing of materials for patient care and daily activities.
  • Provides data entry associated with patient care.
  • Enters patient care orders into the computer as soon as they are received.
  • Supports the Mental Health Unit Department in coordinating, through ancillary services, patient testing.
  • Assists the Mental Health Unit Department Manager in the daily scheduling of staff.
  • Assists in replacing unscheduled absences to meet department needs.
  • Supports the Mental Health Unit Department in completion of patient charts after they are discharged.
  • Organizes discharged patient charts and follows up with the Mental Health Unit Staff to assure that the chart has been completed, to ensure that Mental Health Unit Medical Records Guidelines are met.
  • Conduct safety checks to ensure unit safety and patient safety.
  • Delivers discharged patient charts to Medical Records within two days of discharge.

Qualifications

Job Requirements

Minimum Education
  • High school diploma or equivalent required.
  • CNA preferred.
  • Degree from or enrollment in an accredited college or university in the mental health field preferred or 2 years of experience related to psychiatric care required.
Minimum Work Experience
  • Related office experience. Three to six months medical office or hospital experience preferred.
Required Skills
  • Demonstrates a courteous manner; well organized; ability to set priorities; good interpersonal skills.
