Position: Waiting List Co-Ordinator

We have an exciting opportunity for someone to join our Waiting List Team, based at the Queen Elizabeth Hospital, Gateshead. As a member of the team, you will assist with managing waiting lists for elective surgery and working in accordance with Government Access targets to ensure patients are treated in line with Trust Access policies.

This post is varied and includes contact with patients and many Health Care Professionals associated with admitting patients for surgery.

We are looking for an individual with excellent interpersonal/communication skills and the ability to work in an environment, where demands and priorities change quickly.

We are looking for someone with a minimum of one year's experience working in administration within an NHS patient/customer focused environment with excellent verbal and written communication skills to ensure accurate and timeous information sharing across the multi-disciplinary team.

An awareness of Government Access targets would be advantageous but not essential. You must be well organised, flexible and able to work on your own initiative and demonstrate confidence in independent decision making.

The successful candidate for the post will work Monday to Friday 9am-5pm, although you will need to be flexible to the needs of the service and be committed to high quality patient care. You will be based at the Queen Elizabeth Hospital site.

Main duties of the job
  • To take a lead role in co-ordinating the waiting lists of a group of Consultants in accordance with Trust Policies and government wait time targets for elective surgery, both urgent/cancer and non-urgent, adding to waiting lists/ensuring VBC compliance and calculating pathway dates in line with local and national targets ensuring these targets are not breached.
  • To co-ordinate admission and associated pre-operative assessment appointments, ensuring all key hospital staff are aware of any organisational arrangements.
  • To coordinate surgeons' theatre lists, including selecting appropriate cases in clinical/chronological order and with appropriate attention to medical requirements of the procedures ensuring theatre lists are utilised to their full potential.
  • Schedule surgery and any other related appointments across surgical specialties, monitor progress, identify potential breaches & liaise with clinician/other parties to resolve, plan and manage effective utilisation of theatre lists.
  • To arrange interpretation services for any relevant appointments.
  • Have the ability to manage the demands of a high-pressure, fast-paced environment to ensure service continuity.
  • Provide information to assist performance reporting and resolution of queries or complaints (e.g. Inphase) as required.
Qualifications
  • NVQ 2 Certificate in Business Administration or minimum of 2 GCSE's (Maths & English)
Experience
  • Experience of working in an administration setting in an NHS patient/customer focused environment for a minimum of one year
  • Working knowledge of Microsoft Office packages
  • Clear effective written and verbal communication skills
  • Ability to demonstrate good organisational planning skills
  • Ability to work autonomously and also as part of a team
  • Flexibility
  • Knowledge of waiting list time frames/RTT pathways
  • Familiarity with medical terminology
