Job Description

Are you passionate about event coordination? Come and join the Event Operations team at CERN Science Gateway Campus. In addition to the Globe of Science and Innovation and inaugurated in October 2023, Science Gateway is CERN's new centre for scientific outreach and education. Its mission is to engage visitors of all ages with science, technology, and the people behind fundamental research, through interactive exhibitions, guided tours, educational workshops, and events.

About 100 events for up to 800 participants are organised for the CERN community, the general public and private parties at CERN Science Gateway Campus every year. This position is an excellent learning opportunity for someone seeking to gain first-hand experience in event operations within an international, dynamic, and mission-driven environment. Joining a team of two experienced Event Coordinators, you will provide administrative, logistical, and organisational support for all events taking place at CERN Science Gateway Campus.

Your responsibilities

  • Assist in handling event requests ; help coordinate and deliver technical visits of the venues.
  • Support Event Coordinators in the preparation and delivery of CERN, public and private events and provide on-site assistance during events when required (guest reception,printed/digital signage, logistical support), during and outside standard office hours.
  • Contact internal stakeholders and external service providers as necessary;
    Contribute to smooth communication between technical, communication, security and other internal services.
  • Create simple visual materials (digital or printed signage, presentations, information documents).
  • Maintain calendars, budgets and reports related to events.
  • Help produce, organise and archive event material such as briefings, technical visits reports, and logistical summaries.

Your profile

Experience:

  • Some experience in event organisation, logistics, communication, or administrative support is an asset, but motivation and willingness to learn are key.
  • Experience in an international or cultural/scientific environment is an advantage.

Skills:

  • Good command of standard office software (Word, Excel, PowerPoint, Outlook); ease with digital tools and data management systems; basic knowledge of visual communication and interest in design or digital display tools.
  • Managing self: working well autonomously; taking on activities and tasks without prompting; remaining objective, focused and productive in a stressful environment; focusing on solutions rather than problems.
  • Working in teams: cooperating constructively with others in the pursuit of team goals.
  • Solving problems: identifying, defining and assessing problems, taking action to address them.
  • Communicating effectively: ensuring that information, procedures and decisions are appropriately documented; expressing opinions, ideas and suggestions with conviction and in a logical/structured manner; keeping to the point.
  • Spoken and written both English and French.

Eligibility criteria:

  • You are a national of a CERN Member or Associate Member State.
  • By the Final date to receive applications, you have a maximum of two years of professional experience since graduation in Event Management, Hospitality Management (or a related field)
    and your highest educational qualification is either a Bachelor's or Master's degree
    .
  • You have never had a CERN fellow or graduate contract before.
  • Applicants without University degree are not eligible.
  • Applicants with a PhD are not eligible.
Additional Information

Job closing date:
04.01.2026 at 23:59 CET.

Contract duration: 24 months, with a possible extension up to 36 months maximum.

Working hours:

40 hours per week

Job flexibility:
Fully Onsite

Target start date: 01-March-2026
