We are currently seeking an experienced Samples / Test Articles Coordinator to support both day-to-day operational activities and process improvement initiatives related to test articles. This role will work closely with cross-functional stakeholders across production, logistics, and study teams.
The assignment combines hands-on operational coordination (70%) with analytical and process optimization work (30%).
Key Responsibilities Operational Coordination (70%)- Collect, consolidate, and validate test article requirements from Study Leads
- Coordinate sample production planning across production sites and Global Business Services
- Manage end-to-end shipment activities with external partners and market logistics teams, including:
- Shipment requests and scheduling
- Shipment tracking and delivery confirmation
- Ensure proper documentation for audits, traceability, and compliance purposes
- Act as the central point of contact for operational issues and escalations
- Map existing end-to-end processes and identify bottlenecks across:
- Global Business Services
- Global Logistics
- Market Logistics
- Propose streamlined workflows with clear roles and responsibilities
- Identify and suggest digitalization or automation opportunities (e.g. trackers, dashboards, reporting tools)
- Develop and maintain SOPs, work instructions, and standardized communication templates
- Provide weekly progress updates and reporting to the PMO
- Experience in sample, test article, supply chain, logistics, or clinical operations coordination
- Strong organizational and stakeholder management skills in a cross-functional environment
- Solid understanding of shipment coordination and export/import compliance
- Analytical mindset with the ability to identify inefficiencies and propose practical improvements
- Comfortable working in a fast-paced, international environment
- Strong communication skills and attention to detail
