Reporting directly to a Sheriff’s Lieutenant, responsible for performing complex clerical duties in accordance with the laws, regulations and policies governing the Crisis Intervention Team (CIT) and the Hostage Negotiations Team. Coordinates various mental health providers, treatment providers and local hospitals. Assists with research, documentation, and training preparation.

  • Coordinates dispatch/prioritize mental health calls/emergencies to mental health officers and/or patrol received through the main CIT phone number, including communication with 911 operators
  • Coordinates the transportation process of inmates with a jail detainer hold to/from hospitals and alcohol treatment programs
  • Oversees the process of releasing a jail detainer hold when charges are dropped on an inmate in a psychiatric facility, including contact with courts, jail, and facility staff
  • Maintains up-to-date information on officer's locations and disposition of the calls using the Computer-aided Dispatch (CAD) monitor
  • Maintains up-to-date paging system used to notify officers in urgent/emergency situations
  • Schedules meetings and attends all CIT meetings
  • Develops and compiles statistical information for the Sheriff and the Commissioner's Court
  • Requests work orders for maintenance and repairs of the building
  • Gathers information and assist Instructors with training class materials
  • Performs data entry and records maintenance
  • Composes letters, memorandums, and other documents for the Unit
  • Create forms and flyers, compiles drug manuals, maps/direction manuals
  • Research psychiatric drugs and medical conditions
  • Manages special projects as assigned for the Unit, Sheriff, or Commissioner's Court
  • Conducts research and disseminates information to officers for client referrals from CIT
  • Provides notary public services and maintain accurate records of all notarizations
  • Prepares and provides budget information; assess unit needs and compiles into yearly budget
  • Maintains office supplies and furniture to include securing price quotes from contractors/suppliers; enters all purchase requisitions for unit and processes all invoices for payment
  • Communicates with Williamson County court personnel to schedule officers to execute Orders of Protective Custody, Writs of Commitment, and Psychoactive Medication Orders
  • Receive and verify hospital invoices to process for payment by Accounts Payable
  • Trains new administrative staff
  • Assists "walk-in" clients that are inquiring about mental health services or social service referrals
  • Attends all trainings and meetings as necessary
  • Performs special duties as assigned

PHYSICAL DEMANDS
  • Position involves prolonged sitting at a workstation, reaching, walking, twisting, bending, repetitive motions, and standing
  • Position involves occasional lifting and carrying of up to fifty (50) pounds and exertion of up to twenty-five (25) pounds of force to move objects
ENVIRONMENTAL FACTORS
  • Work is primarily indoors in an air‑conditioned environment
  • Regular travel between work sites as required
IRREGULAR HOURS
  • Work outside of the normal office hours (Monday‑Friday 8 a.m. to 5 p.m.) may be required
  • Requires flexibility to work weekends, evenings, and/or weekend hours
  • May be deemed essential personnel in the event of an emergency
  • Regular attendance is required

  • High School Diploma or equivalent
  • Three (3) years of related office coordination or administrative experience, with demonstrated ability to manage scheduling, documentation, and coordination in a fast‑paced environment
