Job Title: Customer Service Administrator
Basic Function: As a Customer Service Administrator, you will provide essential support to our Sales, Operations, and Executive teams. You will be based on-site at our Gilbert, AZ headquarters and will manage various tasks to ensure efficient customer interactions, accurate recordkeeping, and smooth internal workflows.
Primary Responsibilities and Duties:
- Answer customer inquiries and handle customer communications across multiple channels, providing prompt and courteous support to ensure customer satisfaction and retention.
- Accurately enter and manage customer orders, coordinate returns and credit memos, and address billing discrepancies and payment-related questions.
- Process and track customer complaints, troubleshoot issues, and collaborate with other departments to provide timely and effective resolutions.
- Compile and provide tonnage data to assist the Product Development team and gather monthly sales forecasts from the sales team to support strategic planning.
- Maintain detailed records of customer incentive programs and coordinate customer site visits.
- Review sales team expense reports for accuracy and submit approved reports to Accounting for reimbursement processing.
- Maintain and update customer records and case notes in a Customer Relationship Management (CRM) system.
- Perform various administrative tasks, including managing a shared inbox, scheduling meetings, and preparing internal and external documents.
Qualifications:
- Prior experience in a customer service or administrative role.
- Proficiency in CRM software, Microsoft Office Suite, Quick Books, and general office tools.
- Strong verbal and written communication skills.
- Critical thinking and problem-solving abilities.
- Excellent attention to detail and multitasking skills.
- Patience, a positive attitude, and adaptability.
