The Role

The Learning and Education Support Team operates our busy enquiry management system responding to a high volume of emails and calls covering a range of activity. This includes responsibility for the maintenance, administration and user account creation for learning systems supporting personal development planning and review, and eLearning in NHS Greater Glasgow and Clyde. The team also provides an administration service to our range of workforce development programmes including work based qualifications, Employability and Work Experience, Staff Bursary Scheme, Staff Induction and wider Learning Programmes supporting Board and National priorities.

  • This role will be based in Gartnavel Royal Hospital, Administration Building.
  • Please note there will be an element of hybrid working.
  • The shift pattern for this post is Monday - Friday (flexible).
Key Responsibilities

The Learning and Education Administrator will operate the department’s helpdesk dealing with enquiries regarding eESS OLM, Learn Pro, Turas Appraisal, Turas Executive Appraisal and general Learning and Education enquiries. The tasks and duties include:

  • Dealing with online enquiry system, email and telephone enquiries
  • Log details of responses and solutions to enquiries
  • Set up new courses on eESS OLM on receipt on Course Creation Packs via team supervisor. This includes sourcing and booking venues, ordering catering if applicable and advertising
  • eESS OLM system administration including adding venues and resources, courses, offerings and classes
  • Provide access to systems including user provisioning and role based access (Learn Pro and Turas Appraisal)
  • Test system changes following system developments
  • Organising and administration of Employability/Work Experience programmes
  • Administration and processing of application forms and related documents such as health questionnaires, confirmation letters, information for work placement managers
  • Sourcing placements
  • Updating and maintenance of Work Experience database
  • Contribute to the learning of work experience placements hosted by the Learning and Education Admin Team
  • Assist with the administration and processing of application forms and related documents for the Staff Bursary Scheme
Knowledge, training, qualifications and/or experience required to do the job
  • SVQ Level 3 in Business Administration or equivalent experience/ qualification at SCQF Level 6
  • ECDL or equivalent sound knowledge of Microsoft Office applications including Word, Excel, PowerPoint, Outlook
  • Excellent communication, customer service skills and organisational prioritisation skills
  • Ability to demonstrate experience of working in a busy customer focused environment
